Job Summary

We are an established industrial coatings company based in Langley, BC, looking for a detail-oriented and organized Accounts Receivable Clerk to join our team. This role is ideal for someone who enjoys working with numbers, managing data, and supporting project-driven billing cycles. This position will report to the Financial Controller.

The Accounts Receivable Clerk will be responsible for preparing project invoices using field data, submitting invoices to customers, entering invoices into Sage 50, recording incoming payments, managing collections for all outstanding accounts and ensuring accurate financial records. You will work closely with our operations and accounting teams to ensure timely and accurate billing.

The Accounts Receivable Clerk plays a vital role in maintaining healthy cash flow and supporting the overall financial health of the organization.

Responsibilities

  • Collect daily data from the field (labour hours, equipment usage, materials, etc.) and enter it into the invoice template for active projects.
  • Maintain accurate billing records throughout the duration of each project.
  • Track down supplier invoices required for Time & Material invoices.
  • Finalize completed project invoices and submit them for approval.
  • Send approved invoices and supporting documentation to customer Accounts Payable departments.
  • Enter all finalized invoices into Sage 50.
  • Process and record incoming payments in Sage 50.
  • Perform account reconciliation to ensure accuracy of receivables and identify discrepancies
  • Manage accounts receivable ledger by tracking outstanding invoices and following up on overdue accounts
  • Communicate with clients regarding payment status via phone and email, demonstrating excellent communication and negotiation skills
  • Provide a weekly A/R aging and collection status update to management.
  • Collaborate with the finance team to improve collection processes and enhance cash flow efficiency

Qualifications

  • Proven experience with accounting software, preferably Sage
  • Experience with invoicing and collections, preferably in the construction industry.
  • Strong knowledge of bookkeeping, accounts receivable processes, work in progress and account reconciliation techniques.
  • Understanding of accrual accounting.
  • Excellent data entry skills (Excel) with high accuracy and attention to detail
  • Effective negotiation skills to resolve payment issues professionally
  • Exceptional customer service abilities combined with professional phone etiquette
  • Business related education would be considered an asset but not necessarily required.
