Job Overview

We are seeking a highly organized and professional Office Administrator/Receptionist to join our team. This role is vital in ensuring smooth daily operations, providing exceptional front desk support, and managing administrative functions across the organization. The ideal candidate will possess strong communication skills, excellent organizational abilities, and experience in office management to support various departments and contribute to a productive work environment.

Duties

  • Answer incoming phone calls and respond to client inquiries in a professional and timely manner
  • Complete new client intakes and assign clients to appropriate therapist caseloads
  • Provide a welcoming, supportive, and professional environment for clients visiting the office
  • Ensure timely processing of client payments, including direct billing, point-of-sale payments, and pre-authorized transactions
  • Manage agency tracking systems in Excel and assist with basic data organization
  • Maintain cleanliness and organization of general office areas
  • Schedule, cancel, and modify client appointments as required
  • Monitor inventory and order office supplies as needed
  • Support agency marketing initiatives through the creation and distribution of promotional materials
  • Process incoming and outgoing mail
  • Organize, store, and print company documents and forms as required
  • Maintain filing systems for financial records and general agency documentation
  • Respond to inquiries from agency partners and associates
  • Ensure compliance with all office policies, procedures, and confidentiality standards

Experience

  • Proven experience in office administration or clerical roles within a professional environment
  • Minimum high school diploma; additional qualifications in Office Administration are considered an asset
  • Strong organizational, problem-solving, and time-management skills
  • Prior experience with office management systems and software such as Microsoft Office
  • Experience in medical office management or similar specialized fields is a plus
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Excellent communication skills both verbal and written
