About the Role

We are looking for a detail-oriented, organized, and hands-on Product (Notions) Coordinator to join our Notions Department.

Product Collections include:

Craft Notions
• Sewing Notions
• Quilting Notions
• Repair and Care
• Pressing
• Lingerie Accessories
• Pins
• Thread
• Sewing & Repair Kits
• Craft & Sewing Organizers
• Zippers
• Home Notions

The ideal candidate will have a background in fashion, crafts, or textiles, excellent Excel skills, and solid knowledge of packaging standards and compliance.

Key Responsibilities:

  1. Product & Inventory Management

  2. Set up and maintain SKUs for new and existing Notions items.

  3. Monitor inventory and anticipate reorder needs to ensure top-selling items are always in stock.

  4. Maintain current and accurate catalogues for the Notions products.

  5. Purchasing & Order Processing

  6. Prepare, issue, and track purchase orders and reorders.

  7. Maintain supplier and costing records in the system.

  8. Create and verify barcode labels in coordination with the warehouse.

  9. Follow up on order timelines, shipments, and production samples.

  10. Maintain tracking spreadsheets and outstanding order reports.

  11. Sample Management & Quality Control

  12. Receive, label, and test samples (e.g., wash or function tests).

  13. Compare shipment samples to approved pre-production samples.

  14. Verify packaging accuracy and barcode readability.

  15. Prepare and distribute sample cards and display boards for internal and external use.

  16. Compliance & Packaging

  17. Ensure all products meet government regulations regarding fiber, metal content, and packaging requirements.

  18. Maintain knowledge of packaging materials, labeling standards, and retail compliance.

  19. Support packaging updates and product labeling accuracy.

  20. Communication & Coordination

  21. Liaise with suppliers, mills, buyers, warehouse staff, and sales divisions.

  22. Communicate order status, delays, and quality issues promptly.

  23. Assist with social media or marketing support where needed (labels, posters, photos).

  24. Collaborate with the manager to consolidate quotations and prepare product boards.

  25. Professionalism & Team Support

  26. Communicate respectfully and professionally with coworkers and external partners.

  27. Respond to emails and calls within 24 hours.

  28. Follow company policies and maintain a professional attitude and appearance.

  29. Support team and company-wide initiatives.

Qualifications

  • Minimum 2 years of experience in fashion, purchasing, merchandising, or inventory coordination

  • Hands-on sewing or craft experience is a strong asset.

  • Proficient in Microsoft Excel and data management systems.

  • Strong knowledge of packaging standards and labeling compliance.

  • Excellent attention to detail, organization, and follow-through.

  • Effective written and verbal communication skills.
