Front Desk Orthodontic Receptionist - St. Catharines
We are seeking an organized, personable, and proactive Orthodontic Office Receptionist to be the welcoming face and voice of our practice. The ideal candidate thrives in a fast-paced environment, enjoys helping patients, and has an excellent understanding of front-desk operations. You'll play a vital role in ensuring our office runs smoothly by coordinating schedules, managing patient communication, and maintaining a positive, professional atmosphere.
Satellite offices: Ridgeway (2-3 Mondays/month) + Beamsville (one Friday morning/month)
Reports To: Office Manager / Orthodontist
Position Overview:
Key Responsibilities
- Patient Interaction: Greet patients warmly upon arrival and ensure they feel welcome and comfortable.
- Phone & Communication Management: Answer incoming calls promptly and professionally; respond to patient inquiries regarding appointments, treatment schedules, and billing questions.
- Scheduling: Manage and optimize the appointment schedule for efficiency; confirm, reschedule, and follow up with patients as needed.
- Payments & Financials: Process patient payments and post transactions accurately, answer insurance-related questions.
- Administrative Support: Maintain accurate patient records, update contact information, and ensure all forms are properly completed.
- Office Coordination: Maintain awareness of daily clinic flow and communicate effectively with the orthodontist and clinical team to keep the office running smoothly.
- Customer Service: Deliver exceptional service with a positive attitude, ensuring every patient has a great experience from check-in to check-out.
Job Type: Permanent
Location: In Person
Salary: $21-$25 per hour (based on experience)
Benefits: Extended Heath Care
Schedule: Monday - Friday (no weekends), 8-hour shift
Qualifications
- AEC / DEP or Skilled Trade Certificate (preferred)
- Willingness to Travel: 25% required
- Previous experience in a dental or orthodontic office preferred (minimum 1 year)
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency with dental/medical scheduling software is a plus.
- Professional appearance and demeanor.
- Reliable, punctual, and team-oriented.
