Job Overview
Safety Compliance Duties (Trucking-Specific)
- Driver Qualification Files (DQF) Management
- Maintain up-to-date DQ files for all drivers (licenses, MVRs, medical cards, employment history).
- Ensure DOT-required documents are current and accessible.
- DOT/FMCSA Compliance
- Maintain up-to-date knowledge of safety and regulatory changes.
- Hours of Service (HOS) & ELD Monitoring
- Monitor driver logs via ELD systems.
- Identify and address log violations.
- Train drivers on HOS and ELD requirements.
- Vehicle Maintenance & Inspections
- Ensure maintenance records and inspection reports are current.
- Track DVIRs (Driver Vehicle Inspection Reports).
- Schedule preventative maintenance.
- Incident Reporting & Drug Testing
- Coordinate post-accident protocols and maintain incident records.
- Administer and track random, pre-employment, and post-accident drug/alcohol testing.
- Maintain records for consortium and testing compliance.
- Training & Safety Meetings
- Schedule and document driver safety training sessions.
- Maintain records of all training and certifications.
Office Administration Duties
- Document Management
- Communication & Coordination
- Serve as the point of contact between drivers, safety officials, and office staff.
- Communicate policy updates and regulatory changes to staff and drivers.
- Licensing & Permitting
- Assist with maintaining valid operating authority, DOT, MC numbers, IFTA, IRP, UCR, and state-specific permits.
- Track renewals and expiration dates for permits and registrations.
- General Office Support
- Answer phones, route messages, and respond to emails.
Requirements
- Proven experience in an office setting with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Previous dispatch and safety experience is preferred.
- Permanent resident is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Exceptional phone etiquette and customer support skills to effectively assist calls.
