Shearwater Resort, owned and operated by the Heiltsuk Nation, is a premier eco-tourism destination located in British Columbia's Great Bear Rainforest. The resort's diverse operations, including hospitality, marine services, and retail, require precise and efficient financial management. The Office Administrative Assistant and Accounting Clerk supports the office and finance team in maintaining accurate records, processing transactions, and ensuring the smooth operation of financial systems as well as answering phones, managing communications in the office, and supporting the General Manager.
Position Overview
The Office Administrator & Accounting Clerk plays a key role in ensuring the smooth day-to-day operations of Shearwater Resort's administrative and financial functions. This position supports multiple departments by maintaining accurate records, managing communication and scheduling, processing financial transactions, and assisting with reporting and payroll.
This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Administrative Duties
- Serve as the first point of contact for office communications (phone, email, mail, in-person inquiries).
- Maintain organized filing systems (digital and physical) for resort and operational departments.
- Assist with internal communications.
- Support management with financial record keeping and staff documentation.
- Order and manage office supplies and inventory.
Accounting & Finance Duties
- Record daily financial transactions and assist with bookkeeping in accounting software.
- Process invoices, purchase orders, and payments to vendors.
- Prepare and submit payroll information to management for processing.
- Reconcile accounts, credit cards, and bank statements.
- Assist with financial reporting, budgeting, and audit preparation.
- Maintain accurate and confidential financial records.
Qualifications & Skills
- Post-secondary education in Accounting, Business Administration, or a related field (or equivalent experience) an asset.
- Minimum 2 years of experience in administrative or accounting support roles.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and accounting software (QuickBooks, Sage, or similar).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication.
- Ability to manage multiple tasks and meet deadlines with minimal supervision.
- Experience working in remote or hospitality environments is an asset.
- Understanding and respect for Indigenous values and cultural protocols is an advantage.
Working Conditions
- Full-time, on-site position based at Shearwater Resort, Denny Island, BC.
- Some flexibility in hours may be required during peak season.
- Staff housing may be available for the right candidate.
Job Type: Full-time
Pay: $20.00-$25.00 per hour
