Job Summary

As an Assistant Property Manager, you will support the daily operations of a residential property management company assisting in administrative tasks and tenant relations to ensure a well-maintained and efficient property.

Responsibilities

  • Assist in managing a portfolio of properties, ensuring all properties are maintained and running efficiently.
  • Assist in leasing activities including showing units, processing applications, and preparing lease agreements.
  • Liaise with tenants to address issues, handle lease agreements, and ensure compliance with the Residential Tenancies Act (RTA).
  • Handle tenant inquiries, concerns, and requests promptly and professionally.
  • Conduct property inspections and coordinate maintenance and repairs as needed.
  • Maintain accurate tenant records, lease agreements, and other property-related documentation.
  • Assist in rent collection and financial reporting.
  • Provide regular reports to senior management on property performance, vacancies, and tenant concerns.
  • Utilize property management software and record keeping.
  • Coordinate with vendors, contractors, and service providers for property maintenance.
  • Assist in marketing efforts to attract new tenants.
  • Participate in tenant move-ins/move-outs, ensuring units are ready for new occupants.
  • Respond to tenant requests and emergencies promptly.

Requirements

  • Minimum: Secondary School Completion.
  • University degree preferred, or college diploma.
  • Must read and write English fluently.
  • Strong communication skills and the ability to interact with tenants, contractors, and team members effectively.
  • Knowledge of the Residential Tenancies Act (RTA) is an asset.
  • Knowledge of construction or building maintenance is an asset.
  • A real estate license is an asset.
  • A positive attitude and a "to-do" mindset.
  • Strong administrative skills with the ability to multitask effectively.
  • Must have a valid driver's license and access to a car for travel to various sites.
  • Ability to work independently and manage time effectively.

Experience

  • Required: Two years customer-service/sales experience in a fast-paced environment.
  • Preferred: Residential property management experience.

  • Utilizing effective leasing/sales strategies.
  • Strong customer service orientation.
  • Intermediate understanding of MS Office.
  • Excellent presentation and communication skills.
  • Team player, works well with others.
  • Strong administrative and organizational skills.

  • High stress tolerance.

Special Requirements

  • Be willing to work irregular hours as rental offices are open seven days a week, including evenings and weekends.
  • A valid driver's license and access to a vehicle is preferred.
  • The hours of work are subject to change from time to time and will reflect, amongst other factors, market conditions and prospective resident traffic patterns.
