Position: Election Coordinator
Salary: NU Pay Grade 6 ($42.20 to $49.38/hr)
Union: Non Union (12-month temporary)
Reports to: Municipal Clerk
Purpose of Position:
This position supports the 2026 municipal election, which is a special project of the Legislative Services Division. The Election Coordinator will be responsible for coordinating the conduct of an election in an efficient and effective manner.
Qualifications and Experience:
- Post-secondary degree or diploma in Public Administration or related field and/or combination of relevant training, education, and demonstrated experience.
- 3 years experience related to coordinating municipal elections specifically in public relations, customer service, and communications.
- Experience interpreting and applying legislation and demonstrated ability to research municipal and applicable provincial legislation and regulations.
- Experience prioritizing work in a fast-paced, high-pressure environment with competing priorities.
- Experience maintaining a high standard of professionalism, sound judgement, diplomacy, and confidentiality.
- Experience working independently with limited supervision as well as working within a team environment.
- Experience in report writing, analytical, and problem-solving.
- Class "G" Driver's Licence in good standing.
- Satisfactory police clearance.
Knowledge and Skills:
- Knowledge of municipal election legislation and the Municipal Clerk's roles and responsibilities during municipal elections.
- Strong project management, time management and planning skills.
- Knowledge of Elections Ontario's Election Portal.
- Demonstrate proficiency in Microsoft Office programs including but not limited to Word, Excel and PowerPoint.
- Knowledge and use of office equipment including a computer, photocopier, mail machine, laminator, projector, phone network system.
- Demonstrated effective verbal and written communication skills to properly communicate with the public and fellow staff members.
- Knowledge of Lakeshore by-laws and policies would be an asset.
- Proficiency in using VoterView, Escribe, Laserfiche, online mapping, etc would be an asset.
Major Responsibilities:
The following are essential functions for this position. These are not to be construed as exclusive or all-inclusive.
- Coordinate activities and aspects of the 2026 Municipal and School Board Elections and other Legislative Services special projects.
- Provide information and research in the development and implementation of strategies, policies, and procedures related to various aspects of the election.
- Review the Municipal Elections Act and coordinate implementation and compliance with statutory and election plan deadlines.
- Organize and coordinate events relating to important election dates.
- Research, provide feedback, coordinate activities and disseminate information for the election project.
- Research and provide information as it relates to drafting policies/plans/ procedures with respect to all requirements of the election for the approval of the Project Team(s).
- Participate in the selection of accessible voting locations for advanced and Election Day voting.
- Liaise and consult with Provincial and Municipal partners as necessary.
- Provide support to the Communications and Engagement Division in the implementation of the Election Communications Strategy, including updating the election pages of the municipal website.
- Revise, update, and prepare election materials for voters, candidates, and registered third parties.
- In collaboration with the Municipal Clerk and the Human Resources Division, prepare election training material and coordinate and conduct the onboarding of all temporary election personnel.
- Coordinate, in consultation and collaboration with the Purchasing Specialist, the ordering and distribution of all required election supplies.
- Coordinate responses to information or other requests by candidates and third-party advertisers.
- Oversee the list of electors including revisions to the list.
- Coordinate voter registration and maintain accurate voter registration records
- Organize election day activities including election staffing.
- Arrange and order meals for election personnel as required.
- Set-up and oversee the advance polling stations.
- Coordinate inauguration activities.
- Coordinate onboarding and training sessions for new Council members.
- Other duties as assigned as needed.
Decision Making and Judgement:
- Work is performed under the general management of the Municipal Clerk or Deputy Clerk.
- Work is approved or reviewed by Municipal Clerk.
- Expected to comply with confidentiality procedures when handling information.
Physical Skill and Effort
- Sitting, standing, bending, keyboarding.
- Driving less than 25% of time.
Contacts:Internal:
- Daily contact with office staff and management.
External
- Handle questions from the public, candidates and registered third party advertisers and provide information as needed.
- Daily contact with public to provide information.
Working Conditions:
Environment
- Works within an office environment within the hours of 8:30 AM to 4:30 PM (35 hours per week)
Control over Work Schedule
- Occasionally may be requested to work beyond normal office hours subject to the employee's consent in order to meet deadlines.
- Availability to work scheduled and unscheduled overtime.
- Requirement to work overtime on advanced voting days and Election Day.
