The opportunity:
Reporting to the Senior Manager, Operations Account Services & Support, The Operations Assistant will support our Wealth Advisors and associates to ensure quality control of documents and that procedures are properly implemented and maintained.

Key responsibilities include:

  • Assist in establishing department procedures, implementing, and continually reviewing them to create efficiencies.
  • Provide timely and accurate responses to documentation queries and account opening requests from internal departments and investment advisor teams.
  • Doc Support Inbox: Manage, resolve, and assign tickets to appropriate teams and departments. Monitor ticketing systems within internal platforms and manage day-to-day workflow operation processes.
  • Collaborate with other departments to support account opening within the organization.
  • Manage returned mail and hold mail requests following internal department processes.
  • Maintain electronic copies of all submitted documentation within Advisor Connect and Croesus.
  • Provide clients with signed documentation and welcome packages via electronic signature platforms.
  • Advisory Team Relational Support: Resolve issues, answer inquiries, attend meetings, and coordinate with departments and third-party stakeholders to provide optimal client support.
  • Perform other duties as assigned.

The ideal candidate will possess:

  • College or University undergraduate degree in a related field, or equivalent work experience.
  • 1-2 years of financial services industry experience, preferably in an administrative or operational capacity.
  • 1-2 years' experience in a customer/client-service- facing role.
  • Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Experience using Croesus, iMost, Net Rep, Thompson One.
  • Demonstrate exceptional accountability, reliability, adaptability, and innovation in daily tasks and long-term objectives.
  • Exhibit an excellent attitude and unwavering commitment to providing extraordinary service.
  • Showcase meticulous attention to detail in all responsibilities.
  • Possess exemplary interpersonal skills with the ability to communicate effectively and work collaboratively across various mediums (in-person, over the phone, and virtually).
