Job Overview

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our office operations. The ideal candidate will have strong clerical and customer service skills, with experience in office management, data entry, and administrative support. This role involves managing front desk responsibilities, coordinating schedules, and ensuring smooth communication across departments. Proficiency in Microsoft Office, QuickBooks, and Google Workspace is essential to succeed in this position. The Administrative Coordinator will play a vital role in maintaining efficient office workflows and delivering exceptional customer support.

Duties

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office and QuickBooks
  • Organize and file documents both electronically and physically to ensure easy retrieval
  • Support bookkeeping activities and assist with basic accounting tasks
  • Coordinate appointments, meetings, and schedules for staff members
  • Provide customer service support via phone, email, or in person to clients and visitors
  • Proofread correspondence, reports, and other documents for accuracy and clarity
  • Assist with medical or dental office tasks such as filing patient records or supporting dental receptionist duties (if applicable)
  • Support administrative projects as needed to improve office efficiency and organization

Experience

  • Previous clerical or administrative experience preferred, including office experience or medical/dental office background
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or bookkeeping is a plus
  • Strong computer skills with the ability to perform data entry accurately and efficiently
  • Excellent organizational skills with attention to detail
  • Proven ability to handle multi-line phone systems and provide exceptional customer support
  • Demonstrated proficiency in proofreading, typing, and maintaining professional communication standards
  • Prior experience in front desk or customer service roles is desirable
  • Ability to manage multiple tasks efficiently while maintaining a positive attitude

Job Type: Full-time

Pay: $52,916.40-$54,123.00 per year
