Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supervising staff, and facilitating communication between departments. This position requires a proactive individual with strong leadership skills and a commitment to maintaining an efficient office environment.
Responsibilities
- Oversee daily office operations and ensure adherence to company policies and procedures.
- Supervise administrative staff, providing guidance and support as needed.
- Manage front desk activities, including greeting visitors and handling inquiries.
- Maintain accurate bookkeeping records using QuickBooks and oversee payroll processing.
- Assist with human resources functions, including recruitment, training, and development of staff.
- Organize and maintain filing systems for both physical and electronic documents.
- Handle vendor management tasks, ensuring timely communication and service delivery.
- Operate multi-line phone systems effectively, demonstrating excellent phone etiquette.
- Develop budgets and monitor office expenses to ensure financial efficiency.
- Foster a collaborative team environment through effective communication and organizational skills.
Skills
- Proven supervising experience in an office setting.
- Proficiency in QuickBooks for bookkeeping purposes.
- Strong front desk management skills with a focus on customer service.
- Knowledge of human resources practices including payroll administration.
- Excellent clerical experience with attention to detail in documentation.
- Solid administrative experience with the ability to manage multiple tasks efficiently.
- Exceptional communication skills, both verbal and written.
- Strong organizational skills to prioritize tasks effectively.
- Experience in team management with the ability to motivate others.
- Competence in filing systems and document management practices.
- Familiarity with vendor management processes for effective supplier relations.
