Duties
- Provide administrative support to management and staff, ensuring smooth daily operations.
- Manage correspondence, including emails and phone calls, while maintaining professionalism.
- Organize and maintain files, records, and databases for easy access and retrieval.
- Assist in project management tasks, including planning, execution, and monitoring of projects.
- Prepare reports and presentations using Microsoft PowerPoint and Excel for internal meetings.
- Coordinate procurement activities and manage vendor relationships to ensure timely delivery of services.
- Facilitate effective communication across departments to enhance collaboration.
- Utilize SharePoint for document management and sharing among team members.
- Conduct analysis of data to support decision-making processes within the organization.
- Provide excellent customer service to both internal and external stakeholders.
Experience
- Proven experience in an administrative role with a focus on organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access) is essential.
- Familiarity with project management tools such as Microsoft Project is preferred.
- Bilingual proficiency in English and French is a plus.
- Strong writing skills for drafting reports, correspondence, and documentation.
- Demonstrated ability to manage time effectively while prioritizing tasks in a fast-paced environment.
- Experience with records management practices and filing systems is beneficial.
- Excellent negotiation skills for dealing with vendors and service providers.
