We are currently seeking a Full-Time Administrative Support Specialist to join our team at our Calgary, AB Base.
Reporting directly to the SMS Manager, The Administrative Technical Support Supervisor oversees the administrative technical support team and ensures company documents and training records are accurate, current, and compliant with regulatory and company requirements. This role plays a key part in maintaining the integrity of documentation, contributing to the safety and operational efficiency of Central Mountain Air and its affiliates.
Job Responsibilities
- Supervise, train, and support the administrative technical support team.
- Maintain the Document Master Matrix (DMM), Master Training Matrix (MTM), and Record Control Systems, ensuring all documents and records are accurate, current, and easily retrievable.
- Oversee document revision and approval processes, ensuring timely updates and distribution of manuals and other controlled documents.
- Manage and verify employee pilot and maintenance training, qualifications, certifications, and license records.
- Coordinate and issue new and recurrent training sessions, communicating relevant information to employees.
- Maintain and document department procedures and processes, ensuring clarity and consistency.
- Manage the document control and administration support inbox, responding to requests and distributing company-wide communications promptly.
- Update and maintain aviation manuals, forms, and databases.
- Collaborate with department managers and other teams regarding documentation and training records.
- Conduct scheduled audits of documentation systems to ensure compliance with regulatory and company standards.
- Support internal and external audits as required.
- Identify and implement process improvements within the administrative technical support department.
- Maintain confidentiality and professionalism in all interactions.
- Promote and uphold a strong safety culture.
- Perform other duties as assigned.
Qualifications and Experience
- Minimum 5 years' experience in an administrative role; aviation experience considered an asset.
- Diploma in Business Administration or related field considered an asset.
- Proficient with Adobe Pro and advanced in Microsoft Office 365 applications.
- Strong written and verbal communication skills.
- Excellent attention to detail, organization, and ability to work independently.
