Job Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our team. You will work closely with the President of the company and our Investigators to ensure the smooth operation of the office. The ideal candidate will possess strong clerical skills, shows initiative, has excellent time management and be familiar with administrative tasks, including data entry and various productivity software. Proficiency in QuickBooks is a plus, as well as experience in a legal office environment.

Duties

  • Manage daily office operations, including answering phones and responding to emails in a timely fashion.
  • Perform data entry tasks accurately and efficiently.
  • Prepare reports.
  • Open files and close files.
  • Conduct searches utilizing various programs.
  • Maintain organized online filing systems records and administrative documents.
  • Assist with scheduling appointments and managing calendars.
  • Process billing and payments using QuickBooks.
  • Ensure compliance with applicable regulations and maintain confidentiality of information.

Skills

  • Proficient in QuickBooks, Microsoft Word, Microsoft Excel and Powerpoint.
  • Experience working in legal environment would be an asset.
  • Strong typing skills with attention to detail for accurate data entry.
  • Excellent organizational skills to manage multiple tasks effectively.
  • Strong communication skills, both verbal and written, to interact with clients and staff professionally.
  • Ability to work independently as well as part of a team in a fast-paced environment.
