ERP Systems Specialist

Position Overview
The ERP Systems Specialist is a critical role within the organization and responsible for maintaining, optimizing, and supporting Forthright's ERP system—Entrata. Entrata is a Property Management software system that integrates business functions such as Leasing, Tenant Relations, Maintenance, Finance, and Procurement. The ERP Systems Specialist will ensure the system runs smoothly, meets business needs, and evolves with organizational changes, leading initiatives to enhance operational efficiency, streamline business processes, and optimize the use of technology across all functions. This role will analyze current systems, workflows, and organizational processes to identify opportunities for improvement, implement best practices, and drive change management initiatives. The ideal candidate is a strategic thinker with strong technical aptitude, deep knowledge of property management operations, and proven experience in process optimization and systems management.
Key Responsibilities
System Administration & Maintenance
Maintain, configure, and support the ERP system to ensure stability, security, and optimal performance.
- Manage user accounts, roles, permissions, and access controls.
Perform regular system audits, updates, patches, and backups.
Requirements Gathering & Process Analysis
Work with the business to understand operational processes and translate them into ERP configurations.
- Document business requirements and propose system improvements.
Identify opportunities to automate or streamline workflows using ERP capabilities.
ERP Configuration & Customization
Configure modules according to business needs (finance, leasing, tenant relations, maintenance, etc.).
- Coordinate minor customizations, enhancements, and functional adjustments.
Support integration with other enterprise systems.
Technical Support & Issue Resolution
Serve as the primary point of contact for ERP-related incidents, service requests, and error resolution.
- Troubleshoot system issues, perform root cause analysis, and deploy fixes.
Work with vendors or internal IT teams on escalated technical problems.
Data Management & Integrity
Ensure accuracy, consistency, and cleanliness of data across ERP modules.
- Support data uploads, migrations, and validation activities.
Monitor data workflows and resolve issues related to master data or transactional data.
Training & User Support
Develop user guides, training materials, and documentation.
- Provide training to new users and ongoing support to existing users.
Promote best-practice usage of the ERP system across the organization.
Reporting & Analytics
Create and maintain ERP dashboards, reports, and analytics tools.
- Support departments with data extraction and visualization needs.
Ensure reporting accuracy by validating underlying data sources.
Project Participation & Implementation
Assist in ERP upgrades, module implementations, and system migrations.
- Participate in testing cycles (UAT, integration tests, regression tests).
Collaborate with project managers, subject matter experts, and vendors during ERP projects.
Compliance & Security
Ensure the ERP system complies with company policies, industry regulations, and audit standards.
- Monitor system security, access logs, and segregation-of-duties requirements.
Support internal and external audits related to IT systems and business processes.
Continuous Improvement
Stay updated on ERP functionality, releases, and best practices.
- Recommend technology or process improvements to leadership.
- Evaluate ERP add-ons or new modules to enhance business capabilities.
Professional Qualifications /Experience
- Post-secondary education in business, accounting, information systems or other related programs
- 3+ years of experience in ERP Administration, support, or implementation
- Hands on experience with ERP Systems, including understanding of relational databases
- Knowledge of API integrations
- ERP configuration, User administration, security roles and access control
- Strong understanding of end-to-end business processes
- Ability to map business requirements to system functionality
- Process redesign and optimization
- Data analysis, validation and troubleshooting
- Reporting Tools (Power BI, Tableau)
- KPI development and dashboard creation
- Experience with system testing, UAT, integration, regression
- Writing test scripts and validating results
- Experience with ERP implementations, roll-outs, and upgrades
- Ability to manage timelines, resources and stakeholder communication
- Providing Level 2/3 support for ERP issues
- Training end users and developing documentation and SOPs
- Troubleshooting and root cause analysis
- Exceptional analytical, organizational, and problem-solving skills.
- Strong communication and interpersonal skills, with the ability to influence and lead cross-functional teams.
- Experience in coaching, training, or assisting other staff.
- Experience managing change in a dynamic, multi-site environment.
- Familiarity with industry regulations, compliance, and reporting standards in property management.
- Ability to design and deliver engaging user training sessions.
- Ability to self learn, self motivate, problem solve and ask questions for clarity
- Excellent time management skills; able to work independently and manage multiple deadlines/projects
- Experience with CRM systems, electronic document management, and digital leasing platforms would be an asset
- Strong working knowledge of property management software (Entrata,Yardi.) and workflow automation tools would be an asset.
