We are growing TEC Canada is searching for an Event Coordinator. This dynamic role will support, plan, and successfully execute a variety of events, including our annual Chair & Member Conferences and recognition programs designed to enhance and expand TEC's reach. You will have the opportunity to deliver events for CEOs and senior leaders across Canada, aimed at building meaningful connections, driving engagement, and enhancing the TEC community.
The ideal candidate will be passionate about delivering exceptional event experiences, collaborating with a dedicated team, and ensuring seamless execution. As the Event Coordinator, you will play a crucial role in enhancing the overall experience for our members, while representing TEC Canada at all events.
You will join a team that's responsible for overseeing the membership journey through intentional outreach, outstanding customer service, creating and executing events and programs. Reporting directly to the VP of Operations, the Event Coordinator will be a key contributor to TEC's Operations team.
This position is based in Calgary, AB, and will work from TEC Canada's office in downtown Calgary, with some travel required for events and program execution.
RESPONSIBILITIES
- Responsible for the end-to-end event management and execution of events including venue sourcing and booking, contract management, food and beverage selection, equipment rental coordination, audience research, coordination of regional contractors, internal and external event communications, attendee management, material preparation, prospect follow-up coordination, and event evaluation.
- Collaborate with the Training Manager to ensure all details of events and training classes are arranged and executed – supporting where required.
- Collaborate closely with Chairs and senior leaders to identify and implement strategies that best serve the unique needs of each region.
- Work with VP of Operations to develop event proposals, budgets, KPIs, and ROI metrics for evaluation ensuring collaboration with key stakeholders.
- Collaborate with the Thought Leadership Team to curate and coordinate guest speakers for events.
- Oversee on-site logistics, program assets, setup, and teardown, while liaising with key contacts during events.
- Propose new ideas to improve the event planning and implementation process as well as value add opportunities for TEC's Member and Chair community.
- Collaborate with key internal stakeholders and teams including the partnerships and sponsorships specialist to promote events to ensure optimum attendance, awareness, and effectiveness of each event.
- Handle administrative tasks including purchase orders, invoices, and budget tracking.
- Maintain up-to-date planning documents, event guides, and CRM database updates.
QUALIFICATIONS
- Excellent event planning and project management skills for in-person and virtual events including budget responsibility.
- Minimum of 2-3 years experience in event coordination or similar work experience.
- Ability to work effectively with time sensitive deadlines and manage several concurrent projects on time and on budget.
- Excellent interpersonal skills, with a high level of professionalism.
- Ability to work collaboratively with all stakeholders and senior leaders.
- Strong technical skills in Microsoft office. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with strong technical skills across all applications.
