Role Overview

As a Veterinary Receptionist, you will be the first point of contact for clients, ensuring a warm and welcoming experience. You'll assist with scheduling appointments, managing communications, billing and supporting the veterinary team in providing top-quality care to our patients.

Key Responsibilities

  • Greet clients and their pets warmly upon arrival, creating a welcoming atmosphere.
  • Schedule appointments, confirm bookings and manage reminders.
  • Ensure the hospitals calendar is managed efficiently.
  • Answer phone calls, emails, and in-person inquiries regarding services, procedures, and pet care.
  • Maintain accurate patient records and ensure all information is up-to-date.
  • Process payments, issue invoices, and handle billing inquiries with professionalism.
  • Assisting with administrative tasks such as filing and inventory management.
  • Coordinate with the veterinary team to ensure smooth daily operations.
  • Provide clients with information on pet health, wellness programs, and preventive care.
  • Ensure the reception area is clean, organized, and stocked with necessary supplies.
  • Handle sensitive situations, such as pet emergencies, with care and discretion.

Qualifications

  • Previous experience in a receptionist or a customer service role (experience in a veterinary or medical setting is preferred).
  • Proficiency with computer systems (experience with veterinary software is a plus).
  • Knowledge of laboratory procedures and terminology related to veterinary medicine is highly desirable but not required.
  • Must be able to work flexible hours, including weekends if necessary.
  • Strong organizational skills with attention to detail.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to work effectively in a team-oriented environment while managing multiple tasks simultaneously.
  • Compassionate attitude towards animals and their owners.
