About Us:

We are a locally owned Fire Protection Company based in Nanaimo, BC. Our service range is the Vancouver Island region and the Gulf Islands. We provide service, inspection, installation as well as on-call service to repeat and new clients.

About the Position:

We are currently looking for a Service Coordinator for our Nanaimo location. The job requires the applicant to schedule the inspections and service with the clients, technicians as well as subcontractors. We are a small company and we are looking for someone who is a team player. Clear communication is essential as jobs can often involve coordinating with multiple trades. The data will be entered into our software's schedule to notify the technicians of their assigned work. You will be required to think on your feet as schedules can change rapidly without notice, ie client cancellations.

Responsibilities:

  • Includes but not limited to:
  • Schedule maintenance and service for equipment and coordinate repairs or replacements.
  • Ensure technicians have submitted all required reports
  • Submit reports to clients or the city as required
  • Support of field technicians
  • Maintaining the office space
  • Managing payroll
  • Inventory management and control
  • Year end documentation collection and submission
  • Act as a point of contact for general HR-related inquiries and internal communication.
  • Maintain employee records and assist with HR document control
  • Support the administration of the company's safety program, ensuring records are up to date and compliance documents are submitted as required.
  • Assist with communication and distribution of safety notices, forms, and updates.

Qualifications and skills:

  • Proven experience in an administrative or office coordination role
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with Quickbooks Online and Wagepoint (preferred)
  • Excellent communication, interpersonal, and customer service skills.
  • Strong organizational abilities with a high attention to detail.
  • Reliability and good work ethic
  • Ability to thrive in a fast-paced environment and juggle multiple priorities.
