Who you are

We are seeking a detail-oriented and proactive Portfolio Manager Administrator to support our Portfolio Management team in delivering a seamless, compliant, and client-friendly experience. This role is critical in ensuring PMs spend more time on high-value client and advisor conversations by managing the operational and administrative workflows that underpin our business.

Responsibilities: What you will do

As a Portfolio Manager Administrator, you'll be the go-to support partner for our Portfolio Managers, ensuring they can spend more time with clients.

You will:

  • Manage scheduling for client onboarding, IPS and annual reviews.
  • Send and track AKYC/IPS emails and follow-ups.
  • Prepare and send weekly advisor communications
  • Triage incoming advisor and client emails, flagging urgent issues.
  • Prepare meeting materials and assist with follow-up documentation.
  • Maintain compliance records and support audit readiness.
  • Partner with PMs and associates to continuously improve workflows.
  • Verify data and ensure internal controls are in place and updated consistently
  • Prepare quarterly fact sheets for all subadvisors

Qualifications: What you will bring

  • A passion for organization and follow-through — you love making sure things get done right and on time.
  • Experience in financial administration or operations (2+ years preferred), ideally supporting advisors or client-facing teams.
  • Strong attention to detail with the ability to manage multiple tasks.
  • Clear, professional communication skills (written and verbal)
  • A team-first mindset — you thrive when supporting others to do their best work.
  • Curiosity and problem-solving — you see inefficiencies and want to help fix them.
  • Comfort with tools like Salesforce, Calendly, Zendesk – or the eagerness to learn quickly.
