Position Title: Commercial Account Coordinator
Location: Remote
Reporting To: Director, Essential Services
Role Summary:
The Commercial File Coordinator is responsible for managing, tracking, and coordinating commercial project files to ensure accurate documentation, timely approvals, and seamless communication between internal teams, franchise members, and clients. This role plays a critical part in maintaining workflow efficiency and compliance with company and client standards. The successful candidate will be a strategic thinker, an excellent communicator and a collaborative team player that has a passion for outstanding customer service. You will work closely with the DKI Canada management team and Franchise Members across Canada delivering service excellence. Ideal candidate will possess an insurance restoration background with experience in this type of role previous within the industry. The ideal candidate will possess a background in insurance restoration and prior experience in file coordination or management within the industry.
Responsibilities:
· Track and manage commercial files from assignment through completion using XactAnalysis and internal systems.
· Track and manage all commercial compliance including scorecard review, all pertaining documents for current commercial clients
· Ensure all documentation, approvals, and notes are accurate, complete, and submitted in a timely manner.
· Coordinate communications between franchise members, clients, and internal teams to provide updates and resolve file-related issues.
· Monitor file progress, identify potential delays, and escalate issues to the appropriate lead.
· Support invoice and estimate management, ensuring alignment with approved documentation.
· Assist in maintaining reporting and metrics for file performance and compliance.

Education, Knowledge and Experience required:
· Minimum three - five years' work experience in insurance restoration or related commercial claims experience.
· Experience in file coordination, project management, or administrative support within the industry.
· Post-secondary education in business administration, office management, or related field (or equivalent experience).
· Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
· Excellent written and verbal communication skills.
· Proficiency with Microsoft Office Suite, Xactinalysis, PSA or additional job management software
· High attention to detail and commitment to data accuracy and confidentiality.
Job Type: Full-time
Pay: $50,000.00-$60,000.00 per year
