Job Overview

We are seeking a detail-oriented and organized "Clinic Assistant" to join our healthcare team. The Healing Forest is a top notch multidisciplinary clinic. The ideal candidate will provide essential administrative and clinical support. This role involves managing patient interactions, maintaining accurate records, and supporting the clinical staff to ensure smooth daily operations. Proficiency in Jane app, direct billing portals and excellent customer service skills are essential for success in this position.

Responsibilities

  • Greet patients and visitors at the front desk with professionalism and courtesy
  • Manage phone systems, schedule appointments, and handle patient inquiries
  • Perform data entry and maintain accurate electronic health records
  • Prepare Xray requisitions
  • Ordering supplies as directed by owner and operations manager
  • Assist with filing, document management, and organizing patient charts
  • Provide customer support by ensuring a positive experience
  • Handle administrative tasks such as proofreading documents, managing correspondence, and supporting the operations manager and owner
  • Maintain a clean and organized clinic to promote a welcoming environment
  • Support clinical staff with basic administrative duties as needed

Requirements

  • Mandarin and Cantonese speaking an asset
  • Proven clerical or administrative experience, preferably in a multidisciplinary setting
  • Strong computer skills including proficiency with Microsoft Office, Google Workspace, and data entry applications
  • Experience with Jane app and direct billing portals an asset
  • Excellent organizational skills with attention to detail and accuracy
  • Exceptional phone etiquette and customer service skills for handling patient interactions effectively
  • Ability to multitask efficiently in a fast-paced environment
  • Strong typing, proofreading, and organizational skills to ensure document accuracy
  • Knowledge of front desk operations, multi-line phone systems, filing systems.

Job Types: Full-time, Part-time

Pay: $19.50-$20.00 per hour

Expected hours: 25 – 35 per week
