JOB PURPOSE
At Shakespeare Mills Inc., our success depends on people, productivity, and procedures. Shakespeare Mills Inc. is a feed mill dedicated to producing high-quality feed products and providing exceptional service to our customers. We're a locally operated business that values teamwork, accuracy, and reliability. We're looking for an Accounting Associate to join our team and support the day-to-day financial operations of our company.
RESPONSIBILITIES
1. Accounts Payable
- Match purchase orders, packing slips, and invoices for accuracy.
- Enter invoices into the accounting system (Microsoft Dynamics GP)
- Prepare payments and ensure timely processing of vendor accounts.
- Communicate with suppliers to resolve discrepancies or inquiries.
2. Accounts Receivable
- Prepare and send customer invoices.
- Apply customer payments and maintain accurate records.
- Follow up on overdue accounts and provide account statements as needed.
- Communicate with customers regarding billing questions or adjustments.
3. Bank and Account Reconciliation
- Record daily deposits and receipts.
- Reconcile bank accounts and credit card statements monthly.
- Investigate and resolve discrepancies in a timely manner.
4. Month-End Support
- Prepare journal entries and assist with general ledger reconciliations.
- Generate reports and summaries for management.
- Assist with month-end and year-end closing tasks.
5. General Administrative Support
- Maintain organized accounting files (digital and hard copy).
- Assist with inventory-related entries and reporting as needed.
- Provide backup support to other office and accounting staff when required
REQUIRED KNOWLEDGE, SKILLS, AND EXPERIENCE
- Proficiency with Microsoft Excel
- Excellent attention to detail, organization, analytical thinking, and numerical skills.
- Effective verbal and written communication skills.
- Ability to work independently or collaboratively.
- College diploma or degree in Bookkeeping, Accounting, Finance, or related field is preferred.
- Previous experience in accounting, payroll, bookkeeping, or finance roles is an asset.
WORKING CONDITIONS
- Full-time position, 40 hours/week.
- Salary will be based on experience.
- 2 weeks' holidays plus access to health benefits after 3-month probation.
- Office environment with occasional collaboration with other departments and external stakeholders.
