About The Role
We are seeking a highly organized, efficient, and adaptable Business & Finance Coordinator. In this essential role for Cavalluzzo LLP, you will report to the Manager of Operations and Manager of Accounting to provide top-tier accounting and administration for the efficient operations of the firm.
Key Responsibilities
Finance & Accounting
- Calculates payroll and prepares payroll data for processing, including deductions and taxes, adhering to deadlines. Enters payroll data to ADP.
- Prepares and monitors budgets in consultation with the Manager of Accounting; monitors budget allocations and spending.
- Supports the preparation of monthly, quarterly, and ad hoc financial and client reports and projections.
- Posts monthly accounts. Manages cancellation of accounts in consultation with Manager of Accounting, as required.
- Issues Partners' monthly tax installments.
- Prepares adjusting journal entries, providing support to Manager of Accounting.
- Prepares Counsel invoices.
- Maintains and reconciles accounts for associated lawyers.
- Acts as a key liaison during the audit process, primarily focusing on gathering, organizing, and verifying financial documentation to ensure compliance with internal controls and external regulations.
- Prepares confidential cheques, and distributes petty cash, as required.
- Supports professional and timely collection of any outstanding accounts receivable, in collaboration with Accounting Clerk, as required.
- Provides accurate and timely financial administration, reporting and reconciliation of pension and benefit plans, as required.
- Provides absence coverage for the Manager of Accounting, as required.
Business & Operations Administration
- Identifies and recommends procedural or policy changes to improve the efficiency of business and facility operations, and implements such changes
- once approved.
- Manages and tracks annual sponsorships and donations.
- Maintains accurate tenant records, profiles, beverage disbursements, and provides support for rent collection, as required.
- Acts as the primary liaison with a third-party information technology Managed Service Provider (MSP), managing the relationship, ensuring service delivery aligns with contractual agreements, escalating urgent issues, and handling administrative and operational tasks to ensure seamless MSP operations.
- Assists the Manager of Operations in planning and executing strategic operational projects.
What We're Looking For
- Minimum 3 to 5 years directly related work experience in finance and/or accounting and business coordination.
- Demonstrated knowledge of, and experience in, budgeting, financial reporting and payroll processing and administration.
- Strong attention to detail, ability to maintain accurate records, and handle administrative tasks effectively.
- Strong technical skills and computer literacy.
- Excellent interpersonal communication and relationship management.
- Strong work ethic and high level of integrity.
- Ability to manage sensitive or confidential information with tact and discretion.
- Commitment to social justice and participating in a diverse, honest, respectful, and mutually supportive workplace culture.
Additional Assets
- Hold a degree or diploma in accounting, business administration, commerce, or a related field.
- Prior experience with ADP and/or Acumin.
- Experience at law firm and/or in professional services organization.
- Experience in a unionized environment.

Accessibility and Work Environment

The physical demands of this position may require the incumbent to spend extended periods of time sitting, walking, bending, and use keyboards, including working at a computer monitor and operating office equipment such as photocopiers and printers. Occasionally, the role may involve lifting boxes weighing up to 15 lbs.
Our office is in a three-floor heritage building with elevator access and automated doors. Our workplace has gender-neutral washrooms on all three floors, and ergonomic options available. The building includes fluorescent lighting and ambient noise from neighbouring offices due to the age of the building. We strive to maintain a scent-free and nut-free environment.
Salary Range:
$70,000 based on 35 hours a week.
Benefits:
Comprehensive benefits package, pension participation, personal/paid-sick days entitlements, and three weeks vacation per year. Please note there may be vacation restrictions during the first week of each month.
Location:
474 Bathurst Street, Toronto, ON. The successful candidate will be expected to work hybrid, three days a week at our Toronto office, subject to Manager approval.
Term:
Full-time indefinite.
