Job Description

Westbrook Veterinary Clinic has been around for over 40 years which is owned and operated by Dr. Michael Kolla We are fast-paced small animal veterinary clinic dedicated to providing high-quality medical care and exceptional client service. We are seeking a compassionate, personable, organized, and motivated Veterinary Receptionist / Assistant to join our team full-time. This role is ideal for someone who enjoys working with both pets and people and thrives in a collaborative environment.

Key Responsibilities

  • Greet clients and patients with professionalism, warmth, and compassion
  • Answer phones, schedule appointments, and manage client communications
  • Check patients in and out; process payments and invoices
  • File insurance claims via Trupanion, Fetch, Petline, and PetsPlusUs
  • Use Cornerstone practice management software for scheduling, records, and invoicing
  • Assist with client communication through the Otto pet app
  • Assist veterinarians and technicians as needed (animal handling, basic restraint, room preparation)
  • Maintain cleanliness of exam rooms, lobby, and work areas
  • Accurately update and maintain patient records
  • Multitask efficiently in a busy small animal clinic setting

Qualifications

  • Previous working experience at a veterinary clinic (specifically a receptionist role) and customer service is preferred
  • Experience with Cornerstone and/or Otto pet app is a plus
  • Knowledge of pet insurance policies and claims processes preferred but not mandatory
  • Strong customer service and communication skills
  • Comfortable handling dogs and cats of various sizes and temperaments
  • Ability to stay organized, prioritize tasks, and remain calm under pressure
  • Advanced computer proficiency, with experience using Microsoft
  • Reliable, punctual, and team-oriented
