Our Property Management department is recruiting for a Senior Manager of Administration, a newly established role created to advance operational excellence, optimize administrative functions, and support our expanding business needs.

If you are looking to grow your career in property management and administration, we are seeking a Senior Manager of Administration to join our Property Management department. This is a newly created position and an excellent opportunity for a motivated professional with strong leadership and organizational skills who is looking to make an impact and contribute to the continued growth of our operations.
Key Responsibilities:
- Lead, mentor, and support administrative staff across departments.
- Collaborate with Team Leads to ensure consistent standards, training, and quality service across all portfolios.
- Develop, document, and improve standard operating procedures (SOPs) to streamline workflows and ensure alignment with company policies.
- Partner with HR and department heads to review, update, and implement administrative policies.
- Support the onboarding of new properties and ensure administrative readiness across departments.
- Coordinate communication and collaboration between administrative teams, property managers, and accounting to support efficient daily operations.
- Oversee administrative functions including document control, vendor tracking, data entry, and correspondence.
- Monitor and report on administrative team performance and process metrics to identify opportunities for improvement.
- Ensure reception and front-of-house operations reflect The M Group's values of professionalism, respect, and community.
- Coordinate staff scheduling, coverage, and workload distribution for all administrative support functions.
- Lead cross-departmental initiatives that improve efficiency, communication, and employee experience.
- Ensure accuracy and timeliness in data entry, tenant correspondence, and filing systems.
- Support the development and execution of administrative training and internal communication initiatives.
- Participate in budget planning, resource allocation, and cost-saving initiatives related to administrative operations.
Education & Experience:
- College diploma in Business, Administration, or related field.
- 5+ years of property management administration experience.
- 2+ years of experience in a supervisory or leadership capacity overseeing multi-site or multi-team operations.
Qualifications:
- Strong knowledge of property management workflows, office systems, and document control.
- Proficiency with Microsoft Office (Outlook, Excel, Word); experience with Yardi or other property management software preferred.
- Strong leadership, coaching, organizational, and communication skills.
- Analytical thinker with high attention to detail.
- Valid Ontario Driver's License and access to a vehicle preferred.
- Ability to work extended hours during peak periods or special projects.
