Rivn Group is a Calgary-based real estate investment and management firm focused on disciplined ownership, operational precision, and capital-efficient value creation. We are launching with two office buildings in the Beltline, with plans to scale across urban Alberta. We are looking for a versatile accounting professional who can manage day-to-day property accounting, lease administration, and financial reporting with accuracy, ownership, and efficiency.

Position Overview

This role combines responsibilities traditionally split across a Property Accountant and Property Administrator. You will manage full-cycle accounting for Rivn's buildings, maintain accurate financial and tenant records, support budgeting, and provide timely reporting to ownership.

The ideal candidate is detail-oriented, organized, comfortable with tenant communication, and eager to take ownership of accounting operations within a growing real estate platform.

Key Responsibilities

1. Full-Cycle Property Accounting

  • Manage all day-to-day accounting functions for Rivn's portfolio, including rent invoicing, accounts payable, accounts receivable, and bank reconciliations.
  • Prepare monthly and annual financial statements, including income statements, balance sheets, cash-flow statements, and variance analyses.
  • Track and reconcile operating costs, including CAM and recoveries, ensuring compliance with lease terms.
  • Maintain the general ledger, process journal entries, and prepare monthly accruals.
  • Code and process supplier invoices, ensuring accuracy and proper approval routing.

2. Lease & Rent Administration

  • Maintain accurate tenant ledgers, rent rolls, and charge schedules.
  • Review lease agreements and interpret financial clauses for billing, recoveries, step-ups, and allowances.
  • Ensure timely rent collection, monitor AR aging, and follow up with tenants on overdue balances.
  • Maintain tenant insurance certificates and ensure compliance with renewal requirements.

3. Financial Reporting & Analysis

  • Prepare monthly reporting packages for ownership, including performance summaries and variance commentary.
  • Assist in preparing annual budgets, forecasts, and cash-flow projections.
  • Track capital expenditures and maintain audit-ready records for all CAPEX activity.
  • Monitor building operating costs and identify trends, variances, and opportunities to improve financial performance.

4. Administrative & Tenant Support

  • Act as the point of contact for tenants regarding billing inquiries, rent statements, or reconciliation questions.
  • Maintain digital filing systems for leases, contracts, invoices, insurance certificates, and financial documentation.
  • Assist with tenant notices, year-end reconciliation letters, and general lease administration tasks.
  • Support the Property Operations Manager in organizing quotes, preparing purchase orders, and tracking vendor costs.

5. Systems & Process Improvement

  • Use accounting/property management software (QuickBooks, Yardi, or equivalent) to manage financial data.
  • Develop process efficiencies across accounting, reporting, and record management.
  • Assist with implementing financial controls, best practices, and scalable systems as Rivn's portfolio grows.

Qualifications

Required

  • 3–5 years of experience in property accounting, property administration, or commercial real estate finance.
  • Strong understanding of rent rolls, operating cost allocations, and lease accounting.
  • Proficiency with accounting software (QuickBooks Online, Yardi, or similar) and Microsoft Excel.
  • High attention to detail, strong organizational skills, and ability to manage multiple deadlines.
  • Clear communication skills, including the ability to explain financial concepts to tenants and internal stakeholders.

Assets (Nice-to-have)

  • Experience with CAM reconciliations or commercial lease review.
  • Exposure to budgeting, forecasting, or capital expenditure tracking.
  • Knowledge of residential or commercial real estate operations.
  • CPA designation (or in progress) is an asset but not required.
  • Yardi or similar property management software familiarity.
