About the role

We're looking for an organized and approachable Office & Facilities Coordinator to join our growing team at RBR You'll be the go-to person who keeps our office running smoothly, ensuring a welcoming, well-supported workplace for everyone.

If you love variety, thrive on problem-solving, and like being the person trusted to "make it happen," this is the perfect role for you. You'll work closely with teams across the company, take ownership of key responsibilities, and have the chance to take on new challenges as RBR grows.

What you'll do
  • Be the friendly and efficient first point of contact for office operations by supporting employees, visitors, and vendors, and making sure everything runs smoothly day-to-day (aquarium maintenance team, phone system, repairs, etc.)

  • Support company events and meetings, including catering, room, and technical setup

  • Support office maintenance and upkeep

    • Keep the office organized, clean, and stocked with supplies (milk, cream, kitchen, and office supplies)

    • Ensure a high level of cleanliness and appearance of lobby, meeting rooms, and overall building, including opening and closing duties (coffee machine clean, dishes, restock, etc.)

    • Manage meeting room bookings and upkeep

    • Facilities repairs and maintenance coordination

    • Receive and distribute mail, packages, and deliveries

    • Manage and maintain access fobs and the building security system

  • Provide HR admin support for onboarding, offboarding, orientations, and social events, etc.

  • Actively take on new projects and initiatives as needed (there will always be something new to jump into)

  • Be proactive with facilities and office management by spotting building updates or maintenance needs and making sure they're handled efficiently


What you bring
  • 3+ years of experience in a similar role

  • Strong communication, organization, and attention to detail

  • Positive, energetic attitude and team player mindset

  • Comfortable working independently while collaborating closely with a team

  • Tech-savvy and experience with collaboration tools (Slack, Jira, Confluence, Google Suite, Office Suite, etc.)

  • Able to comfortably lift 20 lbs

  • Valid driver's license and access to a vehicle to run errands 

Nice to haves
  • A love of organizing and streamlining systems

  • Handy with small repairs (painting, furniture assembly, etc.)

  • Joint Health & Safety (JHSC) experience and/or certification

  • First Aid certification
