As an Administrative Assistant, a typical day might include:
- Canvasing industry news and updates on Product Lines and Industry Segments to share with the team
- Undertaking benchmarking projects
- Creating tutorials for various departmental platforms and tools
- Creating system for collecting and filing insurer applications
- Assisting in organizing team building events
- Maintaining the SVP's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Overseeing the full-cycle travel requirements including booking flights, hotels, and any necessary transportation
- Attending executive meetings, taking minutes and following up on SVP's deliverables
- Preparing drafts of business materials including research, content, and electronic presentations
- Preparing, formatting, and proofreading confidential correspondence; briefing materials; speaking and presentation materials; proposals; business plans; strategic documents; and other external and internal reports
- Organizing and prioritizing the Vice President's workflows, files, tasks, and deliverables
- Working in Profit to oversee meeting notes are up to date; organize tasks, workspace, and boards; and monitor SVP's progress towards OKR completion
- Lead Generation & Verification - Collects and analyzes data; qualifies leads by evaluating potential fit for the Construction, Contractors and Real Estate group.
- Lead Development - Identifies and sources new sales opportunities through inbound lead follow-up and outbound emails
- Email Sequence Development - Creates and optimizes email sequences in HubSpot for lead nurturing, cross-selling, and upselling
- Email Copywriting - Crafts compelling email copy to engage potential clients and drive action
- Pipeline Maintenance - Manages and updates the sales pipeline to ensure accurate forecasting and reporting
- Marketing Collaboration - Works closely with the Marketing team and Construction, Contractors and Real Estate group to align sales strategies with marketing campaigns, including blog posts and social media
- Content Coordination - Assists in the planning and coordination of blog posts, print material, webinars, and social media content relevant to Construction, Contractors and Real Estate group.
Must Haves:
- Minimum 2-3 years in a corporate administrative support role, consistently meeting internal core competencies
- Post Secondary Degree considered an asset
- Experience using CRM software, preferably HubSpot
- Experience with EPIC broker management system considered an asset
- Commercial insurance industry experience considered an asset
