The Manager, Office of the COO is a hands‑on enabler of the COO portfolio. This role runs the day‑to‑day mechanics of stakeholder management, planning, governance, financial oversight, program management, reporting. Reporting to the Senior Director and partnering closely with the Senior Manager, the Manager translates strategic priorities into repeatable processes, reliable reporting, and issue resolution, driving consistency, delivery discipline, and clear line‑of‑sight to outcomes.
As a Member of Our Team, Your Responsibilities Will Include:
Reporting and Stakeholder Management
- Manage COO leadership/operating forums: establishing agenda items for senior leadership review, prepare briefing notes and pre reads for swift decision making and efficient communication exchange, as well as accountable for minutes, decision and action tracking to ensure follow through.
- Develop executive ready materials (presentations, dashboards, memos) with high accuracy, crisp narrative, to drive decision enablement.
- Serve as a key partner and stakeholder between COO functions and Finance, CRM, HR, ERM, Legal/Procurement, Risk and core lines of business to unblock decisions and resolve cross functional issues.
- Exercise business relationship management principles to improve cohesiveness of COO group functions.
- Strengthen the Office of the COO brand as a conduit and issues resolution center between IMCO's core business lines, enterprise functions and COO group functions.
Strategic Planning & Execution
- Manage and maintain the annual and rolling planning calendar for the COO portfolio; coordinate inputs, templates, and submission standards across teams.
- Translate enterprise and COO group priorities into team‑level plans, milestone maps, and dependency views; maintain change logs and decision records.
- Co-develop operational KPI definitions (sources, owners, refresh cadence, thresholds) and build the tracking toolkit (dashboards, status packs, scorecards).
- Produce monthly/quarterly performance packs with insights, trend analyses, exceptions, and recommended actions for leadership.
Operational Governance & Enablement
- Manage and maintain the Office of the COO governance library (policies, procedures, RACI, control narratives, SOPs) and manage version control and review cycles.
- Centralize and track audit/regulatory decisions, management action plans, and escalate concerns and systemic themes.
- Facilitate and lead process improvement sprints to remove friction, reduce cycle time, and strengthen control design; document before/after impacts.
Financial Oversight
- In partnership with Finance, manage month‑end financial reporting for all COO cost centres.
- Maintain the vendor and contracts registry; track SLAs, KPIs, renewals/notice dates, and contractual obligations; drive regular vendor reviews.
- Lead sourcing/RFP logistics and ensure third‑party risk/compliance artifacts are complete and current.
Program Management
- Manage a record of ongoing projects and tasks for the COO team, making sure that any risks or issues are clearly assigned to responsible individuals, have specific solutions in place, and include target dates for resolution.
- Standardize status reporting across initiatives; synthesize cross program insights and highlight critical path, capacity constraints, and trade offs.
- Baseline benefits for new initiatives and coordinate post implementation reviews (lessons learned, benefits realization, follow up actions).
- Manage the portfolio toolset and repository (e.g., SharePoint, templates, dashboards) and train contributors in standards.
Research and Analysis
- Support annual or ad-hoc benchmarking reviews for COO group functions.
- Conduct internal and external research, generate insights, and make recommendations with structured action plans to mature capabilities of the Office of the COO.
- Stay abreast of industry developments relevant to COO group functions and enterprise priorities while cultivating insights that influence strategic decision-making.
What You Need to Succeed:
- Bachelor's degree in Business Administration, Finance, or a related discipline; advanced credential an asset.
- 5-8 years of progressive experience in operational/financial analysis, PMO, governance, or business management within financial services, asset/investment management, or a comparable complex environment.
- Demonstrated experience running governance operations and audit/regulatory request management.
- Sound knowledge and experience in budget operations (month end, accruals, variance analysis) and vendor operations (contracts, SLAs, renewals).
- Exceptional skills in managing projects, tracking progress and results, and creating clear reports and dashboards.
- Working knowledge of effective negotiation tactics for swift decision making and resolution.
- High attention to detail, organizational discipline, and ability to prioritize in a dynamic environment; strong stakeholder and communication skills.
- Proficiency with Excel/PowerPoint, and familiarity with corporate finance and procurement systems (e.g., Workday Financials, e procurement); Power BI or similar is an asset.
