The Role

As a Dispatch Manager, you play a vital supporting role in the efficient management of a company's vehicle fleet. Your responsibilities include assisting in the coordination of vehicle maintenance, overseeing schedules, building and maintain strong relationships with property managers, and ensuring compliance with regulatory standards. You assist Operations Manager to optimize routes, track fuel usage, and monitor driver performance. Administrative tasks such as maintaining accurate records, processing invoices, and communicating with drivers are integral to your role. Additionally, you contribute to the implementation of safety protocols and support the overall goal of maintaining a reliable and cost-effective fleet operation. Your attention to detail, organizational skills, and ability to work closely with various stakeholders contribute to the smooth functioning of the fleet management team.

Duties and Responsibilities

Departmental Duties

  • Coordinate with property managers across all collection bin sites to ensure timely product pickups, address service issues, and schedule cleanup or maintenance within 24 hours.
  • Assist Operations Manager and Business Development Manager to resolve collection bin-related complaints. Additionally, collaborate with the Business Development Manager to facilitate the relocation of collection bins.
  • Plan and monitor daily and weekly fleet schedules and routes, ensuring efficient execution of pickup services.
  • Oversee and resolve administrative and operational matters such as vehicle documentation, traffic violations, mechanical issues, and daily inspection compliance.
  • Review, track, and approve logistics-related expenses and fuel usage.
  • Lead regular logistics team meetings to share updates, review performance, and align on priorities.
  • Ensure consistent quality control by monitoring vehicle condition, maintenance records, and logistics reports.
  • Analyze delivery needs from retail locations and coordinate timely inventory deliveries.
  • Ensure full compliance with federal and provincial transportation regulations, including Ministry of Transportation standards, reduce CVOR violations to the target level, aiming to minimize violations and enhance road safety.
  • Work cross-functionally with business leaders to identify process improvements that increase operational efficiency and reduce costs.
  • Maintain detailed documentation of all the records and information on Route4me, GoFleet, Zoho CRM and Think LP.

Leadership

  • Collaborate with the Operations Manager to develop cost-reducing strategies and efficiency improvements.
  • Support the management of fleet operations processes, collection bin budgets and inventory delivery.
  • Participate in the training of new drivers regarding logistics routes, pickup locations, and product collection. Provide refresher training to existing drivers at least once a year
  • Ensure all drivers are following RR Transportation policies and procedures

Employee Relations

  • Assist in the performance management and coaching of employees to ensure adherence to job standards.
  • Provide guidance to employees regarding organizational policies and procedures.
  • Monitor and document policy infractions and report them to the Human Resources department for further action while documenting the same in ThinkLP.
  • Consistently motivate and coach employees for their work and provide recognition. 
  • Assist in staffing by participating in driver and supervisor selection, hiring and onboarding.

Health and Safety

  • Ensure that all vehicles used for product collection are clean and maintained in accordance with Health and Safety standards.
  • Oversee and ensure that all health and safety protocols are followed by employees while performing their duties, including wearing safety boots, gloves, using hands-free phones, and practicing safe driving.
  • Manage all workplace incidents and accidents, reporting them to WSIB, Human Resources promptly and maintenance of documentation on ThinkLP System.
  • Monitor and report any internal or external theft, following company guidelines.
  • Conduct monthly Health & Safety meetings and audits.

Other Duties:

  • Work on other duties and special projects as assigned by leadership team

Education, Experience and Requirements

  • 3+ years of experience working in a logistics-related role or as a senior supervisor in a similar capacity.
  • 3+ years of experience in leading a team.
  • High School diploma or equivalent.
  • Proficiency in Microsoft Office applications.

Physical Requirements and Work Environment

  • Ability to work and drive in extreme weather conditions.
  • Prolonged periods of sitting in a vehicle or office.
  • Ability to stand for extended periods.
  • Daily interaction with customers, buyers, and employees.
