Who are we looking for?
We are seeking a highly organized and client-focused Event Coordinator to join our hospitality team. This role is responsible for managing the events inbox, following up on inquiries, coordinating site visits, and building and maintaining strong client relationships. The ideal candidate will be detail-oriented, proactive, and passionate about delivering exceptional guest experiences.
Key Responsibilities
- Client Communication & Coordination
- Manage the events email inbox, ensuring timely and professional responses to all inquiries.
- Follow up with potential and confirmed clients to provide information, answer questions, and guide them through the event planning process.
- Conduct site visits with clients, showcasing facilities and event offerings.
- Act as the primary point of contact for clients throughout the planning process, ensuring smooth communication and service.
- Event Planning & Execution
- Support clients in planning event details to align with their needs and expectations.
- Coordinate internal resources to ensure readiness for each event.
- Assist with the preparation of proposals, contracts, and event documents as required.
- Ensure accurate and up-to-date records of all client interactions, proposals, and agreements.
- Relationship Management
- Build and maintain long-term relationships with clients, fostering repeat business and positive referrals.
- Work collaboratively with the hospitality and operations teams to deliver seamless event experiences.
- Gather client feedback post-event and support continuous improvement initiatives.
Qualifications & Skills
- 2–3 years of experience in event coordination, account management, or hospitality roles.
- Strong organizational and multitasking skills, with high attention to detail.
- Excellent communication and interpersonal skills, with a client-focused mindset.
- Ability to manage multiple clients and deadlines simultaneously.
- Proficiency in MS Office, Outlook, and event management tools/software.
- Flexibility to work evenings, weekends, and holidays, as required by event schedules.
- Passion for hospitality and creating memorable guest experiences.
Working Conditions
- Primarily office-based with regular on-site client meetings and event oversight.
- Requires standing and walking during site visits and events.
- Collaboration with cross-functional teams in a fast-paced environment.
