Payroll & Benefits Administrator

We are expanding and actively seeking a Payroll & Benefits Administrator to join our team in Saskatoon, SK, supporting our Canadian payroll and HR administration. Reporting to the Manager of Human Resources, the Payroll & Benefit Administrator will collect, verify, and process payroll information, ensure accurate employee compensation and statutory deductions, maintain confidential payroll records, and support benefits and pension administration in accordance with Canadian legislation and company policies. The position also includes full responsibility for preparing payroll-related journal entries and financial reconciliations in collaboration with Finance.

Key Responsibilities:
Payroll Processing & Compliance
- Prepare, verify, and process bi-weekly payroll, including regular pay, statutory holiday pay, overtime, vacation payouts, seniority adjustments, and bonuses
- Calculate and process statutory deductions, including CPP, EI, Income Tax, WCB assessments, garnishments, pension contributions, and employer-sponsored deductions
- Ensure accurate and timely completion of CRA remittances, Records of Employment (ROE), T4s, T4As, and other year-end government filings
- Respond to employee payroll questions professionally and confidentially and provide accurate and timely information
- Maintain accurate time and attendance data and confidential payroll files, ensuring compliance with Canadian privacy requirements
Payroll Accounting & General Ledger
- Prepare and post all payroll-related accounting journal entries, including:
- Regular payroll runs
- Employer contributions
- Benefits deductions and premium allocations
- Pension matching and employee contributions
- Accrual adjustments (vacation, statutory holiday, bonuses)
- WCB premiums and adjustments
- Reconcile payroll accounts monthly, ensuring alignment between:
- Payroll system
- Benefits invoices
- Pension contribution reports
- General ledger accounts
- Prepare payroll variance reports, audit schedules, and supporting documentation for internal or external financial reporting
- Identify and resolve discrepancies between payroll financial data and GL postings in coordination with HR and Finance
Benefits & Pension Administration
- Support employee enrollment, eligibility tracking, changes, and terminations for group benefit and insurance programs
- Manage payroll integration for pension plan administration, including eligibility, employer contributions, employee deductions, and reporting
- Review and reconcile benefits invoices and pension contribution reports against payroll data, escalating variances as required
- Ensure accurate payroll deductions for benefits and pensions and maintain up-to-date employee records
- Support employee questions related to benefits, pension, payroll setup, and deductions
HR Coordination & Employee Support
- Support payroll processing within onboarding and offboarding documentation
- Assist with HR reporting, data validation, compensation accuracy, and internal compliance
- Support internal audits, year-end reviews, compensation analysis, and other HR projects as required
Qualifications & Experience:
- 1–3 years of Canadian full-cycle payroll experience
- Payroll Compliance Professional (PCP) certification, or ability to obtain certification, is required
- Practical accounting knowledge and experience preparing and posting journal entries, GL reconciliations, accrual adjustments, and payroll variance analysis is required
- Experience with payroll systems and time & attendance platforms is preferred; Paycor, Dayforce, and Great Plains experience are assets
- Strong knowledge of Canadian payroll legislation, CRA requirements, provincial employment standards, ROE rules, and year-end reporting
- Experience administering benefits and pension programs, including reconciliation and invoice validation, is preferred
- Proficient in Microsoft Office, especially Excel (Pivots, VLOOKUP, data reconciliation templates)
- Strong confidentiality and data integrity discipline
- Knowledge of U.S. payroll is considered an advantage (not required)
- Ability to work independently, collaboratively, and accurately in a fast-paced environment
