SUMMARY: The incumbent will support the Finance Department and the Corporate Administration Division by performing a variety of tasks as outlined below. This is an entry level role where the successful candidate will gain practical experience in performing various accounting tasks and adding to their knowledge of accounting.
The responsibilities of the Accounting Coordinator include but are not limited to:
- Full cycle A/P processing, including control of expenses by receiving, processing, verifying, and reconciling invoices
- Maintain accounts payable, ensure timely payment of invoices, confirming validity of the debt and gathering appropriate signatures
- Vendor account reconciliations and follow-up on discrepancies
- Perform month-end entries, reconciliations, and analysis as assigned
- Prepare reports and analysis of programs, specific operational items or other financial data as assigned
- Manage the Sales tax administration process as required (HST/QST/BC PST)
- Maintain company cell phone plans and cellular hardware
- Perform general office administration such as ordering of office supplies, ordering lunchroom supplies, and other office administrative tasks as required
- Perform routine finance/accounting department tasks, including but not limited to backup of other Finance department members.
- Provide basic support to other functional areas of the Corporate Administration Division including Customer Support and Supply Planning Departments based on tasks assigned from time to time
- Support corporate events such as employee BBQs, employee breakfasts or lunches.
- Support to the Human Resources and Facilities Manager as required.
- Up to 30% of the time of this role will be spent supporting Customer Support, Supply Planning, Corporate Services, and HR/Facilities.
To be successful in this role the incumbent will posses the following:
- Ability to work independently and as part of a team
- Ability to complete a high volume of work within deadlines
- Excellent organizational and time management skills
- Excellent interpersonal, oral, and written communication skills in English. French is an asset but is not required
- Strong attention to detail
- Possess a Finance or Accounting Educational background
- Minimum 2 years relevant experience in a similar role
- Strong computer skills, including the Microsoft suite of products – specifically MS Word, Excel – intermediate or advanced skills is required, Outlook and MS Teams
- Must be able to work additional or flexible hours during each month-end in accordance with company deadlines
Core Competencies to be successful in the role:
- Attention to detail: The Accounting Coordinator will have to reconcile accounts, noticing any discrepancies and miscalculations. This requires strong observation skills and keen attention to detail. Incorrect information can throw a budget off track and cause incorrect reporting.
- Problem-solving skills: Accounting Coordinator will work closely with the accounting team and upper management. The ability to identify a problem and resolve it appropriately is critical to resolving potential mistakes. Reconciling accounts requires a comparison between reports, accounts and line items. Locating a discrepancy and resolving the error is easiest when you can identify the problem and take the steps to resolve it without excessive time spent.
- Skill with technology: The Accounting Coordinator will benefit most from being adept with technology. Accounting software such as SAP, spreadsheet programs- MS Excel and standard email are all key elements in this type of work. Being comfortable with these programs will enable the candidate to succeed.
- Communication: the incumbent will interact with multiple staff members. The ability to communicate clearly and effectively is beneficial to a productive individual. Phone conversations, written communication via email and formal letters, as well as in-person meetings all require the Accounting Coordinator to have the ability to convey their ideas, concerns and solutions.
