About the Role
We are seeking a highly organized and detail-oriented Quality Assurance & Database Administrator to join our team. This role blends administrative responsibilities with quality control and data management, ensuring the accuracy, reliability, and compliance of our information systems and documentation.
The successful candidate will be comfortable working across departments, managing documentation, supporting quality assurance initiatives, and maintaining data integrity in our databases and platforms.
Key Responsibilities
Document & File Management
- Organize, maintain, and manage project files and electronic document repositories.
- Ensure version control and accurate, up-to-date records for audits and quality control purposes.
Quality Assurance & Control
- Perform quality checks on documents, reports, customer data (including payroll deduction files), and processes to ensure accuracy, completeness, and adherence to policies.
- Assist in developing, reviewing, and maintaining QA documentation, procedures, and checklists.
- Support internal audits and participate in corrective/preventive action tracking.
Database & Data Management
- Enter, update, and verify records in customer data platforms (e.g., Dialog Insight) and other internal databases.
- Conduct regular data integrity checks and resolve errors or inconsistencies.
- Assist in the administration of databases, including backups, access permissions, and organization.
Administrative Support
- Provide day-to-day support to the QA and operations teams, including scheduling, correspondence, and follow-ups.
- Communicate with clients to collect required information (e.g., payroll deduction files) and ensure timely submissions.
- Prepare and format reports, presentations, and QA documentation as required.
Team Coordination & Compliance
- Liaise with cross-functional teams (Operations, QA, IT, Client Services) to ensure accurate information sharing.
- Track compliance with internal and external quality standards and regulatory requirements where applicable.
- Support preparation for regulatory inspections, audits, and client reviews.
Qualifications & Skills
- Post-secondary education in Business Administration, Quality Assurance, Data Management, or related field (or equivalent experience).
- Proven experience in administrative support, quality assurance, or database management.
- Strong organizational and multitasking skills with keen attention to detail.
- Familiarity with database and analytics platforms e.g., Dialog Insight, mySQL, CRM, ERP systems and Power BI would be of high advantage.
- Excellent written and verbal communication skills.
- Ability to work independently while managing multiple priorities.
- Knowledge of regulatory compliance requirements (asset, depending on industry).
