Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. This dynamic role requires a detail-oriented professional who excels in managing complex schedules, coordinating projects, and providing exceptional administrative support. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent communication skills, discretion, and a passion for streamlining executive workflows to foster organizational success.
Responsibilities
- Manage the CEO's calendar with precision, scheduling meetings, appointments, and travel arrangements while prioritizing urgent matters.
- Prepare and proofread correspondence, reports, presentations, and other documents to ensure clarity and professionalism.
- Coordinate multiple projects simultaneously, tracking deadlines and deliverables to ensure timely completion.
- Handle all aspects of office management including filing systems, supply inventory, and front desk duties to maintain an efficient work environment.
- Organize events such as board meetings, team gatherings, and client engagements through detailed planning and logistics coordination.
- Maintain accurate records using data entry skills and bookkeeping tools like QuickBooks for expense tracking and financial documentation.
- Manage communication channels with professionalism via multi-line phone systems, email correspondence, and phone etiquette standards.
- Utilize Microsoft Office Suite, Google Workspace, and Microsoft Outlook Calendar for scheduling, document creation, and collaboration.
- Support personal tasks for the CEO as needed, including personal calendar management and transcription services.
- Facilitate document signing processes using tools like DocuSign to ensure secure approvals.
Requirements
- Proven experience as an executive assistant or in a similar administrative role with a strong background in office management.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a busy environment.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with multi-line phone systems.
- Experience with calendar management tools such as Microsoft Outlook Calendar or similar platforms.
- Strong data entry skills along with experience in bookkeeping software like QuickBooks or comparable programs.
- Demonstrated ability to coordinate projects effectively while managing multiple priorities simultaneously.
- Attention to detail for proofreading documents and transcribing audio accurately.
- Previous experience supporting high-level executives or personal assistants is highly desirable.
- Ability to adapt quickly to changing priorities while maintaining a positive attitude and professional demeanor.
