Location: Prince George Family Y (2020 Massey Drive, Prince George)

Term: Permanent, Full-Time

Hours: 40 hours per week

Shift: Monday - Friday between the hours of 8:00am to 4:00pm

Start Date: As soon as possible

Salary: $40, ,000 annually

Reports To: Coordinator, Administration & Transportation, Child Care

Nature & Scope

The Child Care Registrar is responsible for ensuring YMCA BC's licensed care spaces are fully enrolled. This includes managing the waitlists for 150 licensed child care programs and licensed day camps, responding to parent inquiries, and working collaboratively with both operational and administrative child care teams

Major Responsibilities - in this position, you will:

  • Support registration across all licensed School Age and Early Years programs within YMCA BC Child Care
  • Support registration for all seasonal licensed day camps and non-instructional registrations
  • Maintain and update centre enrollments, rosters, dynamic waitlist records and reporting as required
  • Maintain timely communication between parents, centre supervisors & management teams
  • Receive and respond to email and phone inquiries
  • Provide excellent customer service and account support
  • Provide admin support for the development of new child care facilities, the branch Strong Kids campaign, human resources and child protection functions
  • Perform other related duties as required by the child care department and be flexible to a changing work environment
  • Support Accounts Receivable teams and Child Care Subsidy Teams as needed
  • Commitment and focused attention to ensuring the Branch meets association commitments and targets while ensuring that all programs operate at maximum capacity

Qualification - you bring:

  • A minimum of 1 years' experience in an administrative assistant or relevant role
  • Proven track record in effectively navigating and utilizing databases
  • Demonstrate a high level of organizational and administrative skills
  • Exhibit exceptional customer service skills coupled with cultural sensitivity
  • Excel in maintaining process and detail orientation while adeptly managing multiple tasks
  • Proficient in utilizing Microsoft Office tools such as Excel, Word, and Outlook
  • Demonstrate excellent verbal and written communication skills
  • Capable of working both independently and collaboratively in a team environment
  • Proactively take initiative and manage time effectively in a fast- paced, dynamic setting
  • Prioritize workload with precision, showcasing impeccable organizational skills and attention to detail
  • Possess analytical and problem-solving acumen
