Overview
We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support within our office environment. The ideal candidate will possess strong communication skills, proficiency in various software applications, and the ability to multitask effectively in a fast-paced setting.
Duties
- Greet and assist visitors in a professional manner at the front desk.
- Manage multi-line phone systems, directing calls and taking messages as necessary.
- Perform data entry tasks accurately and efficiently.
- Maintain organized filing systems for easy access to documents.
- Utilize Microsoft Office Suite for various administrative tasks.
- Prepare invoices and process client payments.
- Support customer service efforts by addressing inquiries and providing information.
- Handle appointment scheduling and confirmations for clients.
- Maintain a clean and welcoming reception area.
Qualifications
- Previous office experience is preferred; experience in a health care setting is beneficial.
- Proficiency in Microsoft Office (Word, Excel, Teams) .
- Strong computer skills with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail.
- Effective phone etiquette and customer support abilities.
- Experience with data entry and clerical tasks is essential.
- Ability to manage multiple priorities while maintaining a professional demeanor.
- Typing proficiency with strong proofreading skills.
- Familiarity with multi-line phone systems is a plus.
