Overview
We are seeking a highly organized and detail-oriented Receptionist to join our team. This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, proficiency in various office software, and a commitment to maintaining a welcoming environment for clients and visitors.
Responsibilities
- Greet visitors and clients at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls appropriately while maintaining phone etiquette.
- Provide clerical support including data entry, filing, and document management.
- Assist with calendar management and scheduling appointments for staff.
- Utilize QuickBooks and Sage for basic bookkeeping tasks as needed.
- Maintain office organization through effective time management and organizational skills.
- Handle customer inquiries and provide exceptional customer support.
- Perform proofreading of documents to ensure accuracy and professionalism.
- Support office management tasks, including inventory control and supply ordering.
- Collaborate with team members to enhance office efficiency and workflow.
Qualifications
- Previous experience in an administrative role or as a receptionist is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong computer literacy with the ability to learn new software quickly.
- Excellent typing skills with attention to detail for accurate data entry.
- Familiarity with accounting receptionist duties is a plus.
- Demonstrated ability in organizational skills and time management to prioritize tasks effectively.
- Experience with bookkeeping or financial software such as QuickBooks and SAGE is advantageous.
