Administrative Support Staff – Real Estate Brokerage (Full-Time, On-Site)

Location: Waterloo, ON

Hours: Monday to Friday, 9:00 AM – 5:00 PM

Compensation: $45,000 annually to start, with room to grow

We're looking for an organized, detail-oriented individual to join our team in an Administrative Support role at RE/MAX Solid Gold Realty (II) Ltd., a successful and fast-paced real estate brokerage.

This is a full-time, on-site position that plays a key role in ensuring the smooth processing of real estate transactions and providing general administrative support to our agents and management team.

Key Responsibilities

  • Process all incoming real estate transactions from start to finish — from receiving deal paperwork through to preparing and sending files to lawyers, outside brokerages, and other parties.
  • Maintain accurate and organized transaction records in compliance with Brokerage, RECO & FINTRAC requirements.
  • Provide front desk/reception support during lunch hours, vacations, or other absences as needed.
  • Assist the Office Manager with various administrative tasks and projects.
  • Provide general support to our team of real estate professionals as needed in a friendly and professional manner.

Qualifications

  • Strong attention to detail and accuracy with paperwork and data entry.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and general computer skills; familiarity with real estate software or deal management systems (NexOne, BrokerWolf) is an asset.
  • Ability to work independently in a fast-paced environment while managing multiple priorities.
  • Previous experience in a real estate office or administrative role is preferred.
