Position Overview

The Medical Office Administrator (MOA) provides comprehensive high-quality administrative and clinical support across all areas of the clinic. This position ensures smooth daily operations by managing inquiries, appointments, and providing essential coverage and assistance wherever needed, including referral management and general administrative duties. The ideal candidate is highly organized, adaptable, and able to manage multiple priorities in a fast-paced healthcare setting.

Position Details

Type: Full-Time (40 hours/week), Permanent

Start Date: Immediately

Key Responsibilities and Duties

Administrative and Clinical Support

Provide coverage and support for various administrative roles throughout the clinic.

May be available to support front desk and patient support.

Contact patients to schedule and confirm appointments.

Send, track, and follow up on patient referrals.

Track cancer screenings and manage referrals.

Support physicians and clinical staff with administrative tasks as required.

EMR and Records Management

Manage the OSCAR PRO Electronic Medical Record (EMR) system.

Maintain accurate and up-to-date patient records.

Manage incoming faxes, lab results, and electronic correspondence.

Monitor fax transmissions and resolve issues.

Assist with scanning, filing, and document management.

Compliance and Environment

Maintain the office area, check emails, and sort mail.

Ensure strict compliance with patient confidentiality (PHIPPA).

Enroll new patients and manage their records.

Contribute to maintaining a positive and collaborative team environment.

Qualifications

Experience: Previous experience in a medical office or healthcare administrative setting preferred.

Technical: Proficiency with Electronic Medical Record (EMR) systems; experience with OSCAR PRO is required.

Skills: Strong organizational and multitasking skills with exceptional attention to detail. Excellent verbal and written communication skills.

Attributes: Demonstrated ability to adapt quickly and work efficiently under pressure. Professional, dependable, and committed to maintaining patient confidentiality at all times.
