Hours: Full-time (35–40 hours per week; flexible scheduling)
Compensation: $26.00/hour -$29.00/hour; growth beyond that tied to contribution and added responsibility

Role Overview
This position blends three complementary areas of responsibility. You will anchor the front office, coordinate the daily flow of care, and provide light executive support to the owners. The goal is a smooth, welcoming experience for patients and a well-organized, low-stress day for the clinical team.
Core Responsibilities
- Welcome patients; manage check-in/out and set the tone for a calm experience.
- Own the schedule for the hygienists; confirmations, waitlists, and efficient time-blocking.
- Billing and payment processing; insurance pre-authorizations and claim submission (EDI and mail).
- Maintain accurate patient records; forms intake and profile updates.
- Manage recall/re-care systems; produce daily/weekly follow-up lists.
- Assist with sterilization (Steri) throughout the day to support clinical flow.
- Inventory checks and supply ordering; vendor coordination as needed.
- Anticipate and troubleshoot scheduling conflicts; protect priority blocks where appropriate.
- Monitor key operational metrics (no-shows, late cancels, AR follow-ups, re-care progress) and surface trends to the owners.
- Support pre-visit readiness: confirm forms, health history updates, and any special accommodations.
- Prepare simple reports and summaries (daily schedule snapshot, end-of-day wins/issues, re-care progress).
- Assist with ordering, vendor communication, price checks, and small procurement projects.
- Help Coordinate small projects and timelines (e.g., marketing hand-offs, website updates, signage).
- Capture "Director of Wow" opportunities—note special patient preferences and propose small touches that elevate the experience.
Qualifications
- Dental Administration diploma or equivalent experience.
- Minimum 2 years in dental admin with insurance, billing, and scheduling competency.
- Comfortable with dental software (AkituOne experience is an asset).
- Organized, reliable, and calm under pressure; clear, friendly communicator.
- Enjoys variety, takes initiative, and values a respectful, low-stress environment.
