EXECUTIVE ASSISTANT JOB POSTING – PERMANENT POSITION
PRIMARY RESPONSIBILITIES: Reporting directly to the General Manager, Chief, or designate, the Executive Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. This role requires excellent communication, interpersonal, and administrative skills to function efficiently as a support person for the Chief, Council, and Management of the Wet'suwet'en First Nation. The position requires the ability to work with minimum supervision in an orderly and efficient manner and includes responsibility for executive office management. The incumbent must demonstrate impeccable judgment, discretion, and an understanding of the Nation's protocols and operational structure.
ROLES AND RESPONSIBILITIES:
Executive and Administrative Support:
- Coordinates & manages calendars for the Chief as a 1st priority and then the Council & Management and assists with schedules, appointments, meetings, and commitments.
- Makes travel arrangements, including detailed itinerary planning, transportation, accommodations, and related logistics for the Chief, Council, and Management, that aligns with organizational policies.
- Composes, prepares, keys in, edits, & proofreads confidential correspondence, reports, electronic mail.
- Manages preparation, assembly, and distribution of meeting materials, briefing packages for Chief, Council, Management, Staff and Community members as needed.
Meeting and Minute Management:
- Attends Chief and Council meetings, finance meetings, community meetings, and other designated sessions; records detailed, formal minutes in a timely manner.
- Takes primary responsibility for coordinating all aspects of Finance & Council meetings and produces meeting minutes.
- Sends out meeting notifications and agendas, books venues, arranges for necessary technology and catering, and ensures all logistical details are handled for a seamless meeting experience.
Office and File Management:
- Manages office supply and equipment inventory.
- Develops, maintains, and audits both physical and digital filing systems to ensure the swift and accurate retrieval of information.
- Maintains confidential personnel files and records; assists the management team with staffing processes, including scheduling interviews and preparing relevant documentation.
- Serves as a liaison between the General Manager, Finance personnel, and external Accountant to facilitate information flow.
Financial and Supervisory Duties:
- Applies a solid understanding of financial processes and accounting procedures to tasks such as reviewing invoices, preparing basic financial documents, and understanding budget reports.
- Establishes work priorities for the administrative support team, delegates tasks effectively, and monitors progress to ensure all program and departmental report deadlines are consistently met.
Facility and Additional Duties:
- Oversees the administration buildings, liaising with Village Maintenance and Custodian personnel to ensure cleanliness, routine maintenance, seasonal winterizing, and the coordination of services.
- Availability to work occasional overtime and undertake travel as required to support organizational needs.
- Performs other related duties as required and directed by management.
QUALIFICATIONS/REQUIREMENTS:

- Minimum Grade 12 graduation or equivalent.
- A post-secondary Certificate, Diploma, or a minimum of five (5) years of progressive, demonstrated experience in Applied Business Technology, Business Administration and/or Finance.
- Demonstrated experience working with Indigenous organizations.
- High proficiency and demonstrated experience with Microsoft Office Suite, including advanced functions in Excel, Word, Publisher, PowerPoint and Outlook.
- Exemplary judgment and an unwavering ability to maintain a high degree of confidentiality and discretion with sensitive information.
- A genuine knowledge, understanding, and appreciation of Wet'suwet'en language, culture, history, governance structure, and community protocols.
- Possession of a valid Class 5 Driver's License and access to reliable transportation for work-related purposes.
- Must be able to provide a clear Criminal Record Check.
