Job Summary
The Building Manager position involves leasing and customer service to our residents, coupled with taking care of maintenance, repairs, and suite turnover work at assigned properties. Duties include customer care, administration, coordinating outside contractors, performing hands-on repairs and maintenance to the building and the suites, collecting rent, leasing vacant suites and renewing existing leases, and a wide range of administrative tasks under the direction of the Property Manager.
Responsibilities
Customer Service & Administration
· Assisting tenants with concerns related to the property, their lease, payments, etc.
· Working to create a friendly and welcoming environment for residents.
· Preparing and delivering forms, documents, notices, announcements, and communicating with Tenants as required.
· Screening and processing applications, preparation of lease paperwork, and assisting with the move-in process.
· Maintaining site records using various online tools and databases.
· Providing regular reports and updates to the Property Manager, escalating significant issues and decisions to them when required.
Leasing
· Responding to rental inquiries from prospective tenants via telephone, text, and e-mail.
· Conducting showings of vacant units and encouraging prospective tenants to rent.
· Scheduling move-ins and move-outs with Tenants, conducting walkthroughs and inspections as required, and providing orientation and site tours to new Tenants.
Rent Collection
· Ensuring rent payments are collected on time each month.
· Following up on late payment by phone, text, e-mail, and with official notices.
· Preparing and delivering eviction and other official notices to Tenants where required and as directed by the Property Manager.
Maintenance
· Monitoring and coordinating required maintenance work around the property.
· Performing repair and maintenance work to the building, in the suites, and around the property where required.
· Ensuring vacant suites are in good repair and ready for move-in, doing any repair, painting, and touch-up work required.
· Scheduling, monitoring and supervising the activities of outside contractors.
· Responding to after-hours emergencies at your property and assisting with others as part of a rotation.
The Site Superintendent is the lead operational and administrative role at their assigned site, taking responsibility for making sure Tenants are happy, the building is maintained to a high standard, and leasing and collection goals are met.
Qualifications
- Proven experience in Building management with a strong background in site supervision.
- Proficiency in Property Management software.
- Familiarity with project scheduling techniques and tools.
- Strong management skills with the ability to lead teams effectively.
