The Financial Aid Advisor & Practicum/Placement Coordinator is responsible for supporting students throughout their academic journey by managing financial aid processes and coordinating practicum/industry placements. This role ensures students receive accurate financial guidance, meet documentation requirements, and secure appropriate practicum/placement opportunities aligned with their program outcomes. The position works closely with academic, admissions, and industry partners to deliver exceptional student experience.

Key Responsibilities

1. Financial Aid Advising

  • Assist students in understanding financial aid options, student loans, grants, and scholarships.
  • Guide students through application processes, document submission, and eligibility requirements.
  • Review and verify financial aid applications for accuracy and completeness.
  • Conduct financial counseling sessions regarding loan responsibilities, budgeting, and payment timelines.
  • Coordinate with Finance/Bursar to ensure timely disbursement of funds and account reconciliation.
  • Maintain up-to-date and accurate student records in CRM/SIS systems.
  • Communicate deadlines, missing documents, and next steps to students through email, calls, or appointments.
  • Assist with appeals, reassessments, and special circumstances as per policy.
  • Ensure compliance with institutional, provincial, and federal guidelines on financial aid processing.

2. Practicum & Placement Coordination

  • Coordinate practicum and placement requirements for eligible students based on program curriculum.
  • Maintain a network of industry partners to expand placement opportunities.
  • Match students to appropriate practicum sites based on program needs, skills, and employer requirements.
  • Collect and verify practicum documents (MOUs, agreements, insurance, forms).
  • Conduct orientation sessions to prepare students for practicum expectations and workplace conduct.
  • Act as the main contact point between students, host companies, and faculty for concerns or adjustments.
  • Monitor student progress during placements and resolve issues promptly with professionalism.
  • Ensure evaluations, completion forms, and practicum hours are documented and submitted on time.
  • Assist in tracking post-graduation employment outcomes when required.

3. Administrative & Coordination Tasks

  • Update CRM/SIS with student milestones such as placement status, financial aid status, and documents received.
  • Prepare reports on financial aid approvals, pending files, and placement statistics.
  • Collaborate with Admissions, Academics, and Finance to support seamless student transitions.
  • Maintain confidentiality of student information in compliance with institutional and privacy guidelines.
  • Support campus events such as orientations, career fairs, and information sessions.
  • Continuously improve processes for both financial aid and practicum coordination.

Qualifications

  • Bachelor's degree in Business, Education, Finance, HR, or a related field.
  • Experience in financial aid, student services, or career services is an advantage.
  • Strong knowledge of financial aid processes, student loans, and educational policies (training can be provided).
  • Excellent communication and interpersonal skills when working with students and industry partners.
  • Strong organizational, documentation, and time-management capabilities.
  • Ability to handle confidential information with discretion.
  • Proficiency in CRM/SIS systems, MS Office applications, and digital communication tools.
  • Ability to multitask and manage deadlines in a fast-paced environment.
