Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in medical or dental offices is a plus, but not required.
Duties
- Greet visitors and clients with a friendly and professional demeanor at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using QuickBooks and other office software
- Handle filing, document management, and general administrative support
- Assist with billing, bookkeeping, and basic bookkeeping tasks as needed
- Ensure the reception area is tidy and organized at all times
- Provide customer support by addressing inquiries promptly and courteously
- Proofread documents for accuracy before distribution
- Support office staff with clerical tasks such as copying, scanning, and mailing
Requirements
- Proven experience in an office environment, including clerical or administrative roles
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with attention to detail and accuracy
- Exceptional phone etiquette and customer service skills, especially for front desk roles in medical or dental offices
- Ability to handle multi-line phone systems efficiently
- Capable of typing quickly and accurately for data entry and correspondence
- Previous experience in medical or dental office settings is advantageous but not mandatory
- Strong organizational skills to manage multiple priorities effectively
- Ability to work independently with minimal supervision while maintaining professionalism
