Construction Scheduling coordinator

Job Summary
We are seeking an organized and detail-oriented Scheduling Coordinator to join our team. This role is essential in managing appointment schedules, coordinating with clients and staff, and ensuring smooth daily operations. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in a construction setting is a plus, along with familiarity with multi-line phone systems and data entry tasks. The Scheduling Coordinator will play a vital role in maintaining efficient scheduling processes and providing exceptional customer support.
Duties
- Manage and coordinate appointment schedules using scheduling software and office tools
- Respond promptly to client inquiries via multi-line phone systems, email, and in person
- Schedule trades for projects and ensure that all trades have the proper scope of work
- Maintain accurate records through data entry, filing, and document management
- Utilize Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
- Support bookkeeping activities as needed, including invoicing and billing follow-up
- Proofread and verify appointment details to ensure accuracy
- Provide excellent customer service by supporting client needs and inquiries
- Collaborate with team members to optimize scheduling efficiency and workflow
- Perform clerical tasks such as filing, photocopying, and maintaining organized records
Requirements
- Proven experience in office administration for construction, clerical work, or customer service roles
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to multitask effectively
- Experience with data entry, proofreading, and maintaining accurate records
- Exceptional phone etiquette and customer support skills
- Ability to handle sensitive information discreetly and professionally
- Prior experience in construction or renovations
- Strong typing skills with attention to detail
- Ability to work independently as well as part of a team in a fast-paced environment
Job Types: Full-time, Permanent
Pay: $20.00-$25.00 per hour
