The City of Port Moody has an excellent opportunity for a regular, full-time Purchasing Coordinator.

Responsibilities:

  • Create, issue and track purchase orders while ensuring accuracy of order details. This includes invoice and payment coordination in Agresso.
  • Administer Service Agreements including monitoring of completion dates and coordination of contract extensions or close-outs as required.
  • Coordinate Meetings (Site Meetings, Consensus Meetings, Supplier Meetings etc.)
  • Prepare files, draft contract forms, and create documents
  • Development of purchasing documents, meeting with proponents, developing, issuing and awarding RFQ's (Request for Quotations) and performing related purchasing tasks
  • Process electronic requisitions, obtain and analyze quotations, prepare purchase orders, place orders, expedite and close files
  • Establish and maintain liaison with a variety of internal and external contacts; providing advice and assistance to internal departments regarding departmental policies and practices
  • Administration of insurance files, ensuring liability insurance is in accordance with the standard
  • General administrative tasks including filing and organization
  • Administer internal Intranet site
  • Prepare regular reports on purchasing activities and metrics (expiring contracts, insurances, forms etc.).
  • Support month end and year end reporting requirements, this includes annual audit response.
  • Responsible for the purchase order module in Agresso
  • Review and distribute invoices for approval

Basic Qualifications:

  • Completion of Grade 12 and a minimum of six months of college or technical courses in purchasing such as the Supply Chain Management Training program
  • Two years of purchasing-related experience, including experience with financial computer software applications
  • Knowledge of purchasing practices and relevant legislation
  • Knowledge of and experience with general accounting procedures.
  • Excellent organizational skills and the ability to manage multiple tasks
  • Excellent verbal and written communications skills and attention to detail
  • Proficiency with MS Office programs (Excel, Word and Outlook)
  • Knowledge and training in Agresso would be an asset
