Overview:

We are seeking a dynamic Assistant Venue Coordinator to oversee the operations of our event space and assist the Venue Coordinator. They will be responsible for ensuring the smooth execution of events, maintaining high standards of guest satisfaction, and driving revenue growth through effective management.

Client Communication & Sales

  • Serve as the main point of contact for clients, from the point of inquiry, to post event follow-up.
  • Effective communication and prompt replies to address client inquiries, requests, concerns received through Honeybook, Wedding Wire and the Glen Oro inboxes.
  • Organize and conduct property tours with couples, their families, and vendors.
  • Connect couples to the Wedding Planner after booking.
  • Provide pricing, customized proposals, invoices, and recommended vendor lists to prospective couples.
  • Ensure that all couples understand Venue Policies relating to alcohol and the bar, eco-retreat bookings and buyouts, personal liability insurance, audio (sound), and all other venue related policies.

Event Planning and Execution

  • Coordinate and oversee all aspects of micro-weddings, corporate events, wellness retreats, anniversary parties, celebrations of life, private dinners, and all 'other' events.
  • Lead Pre Micro-Wedding (and any 'other' event) planning consultation and gather all relevant information from couple / event host.
  • Work with the Wedding Planner on coordination and execution of Grand Weddings.
  • Be present on event day and ensure that all elements are running smoothly according to the couple's specifications.
  • Create 'day of' event workbooks and share with couples, staff and vendors to ensure a smooth and efficient flow through the day.
  • Oversee setup and teardown per the specifications of the couple.

Vendor Management

  • Liaise with vendors such as caterers, florists, photographers, and entertainment providers and ensure seamless collaboration.
  • Ensure all new vendors receive property tours pertaining to their trade to ensure they are comfortable with navigating the property at the main event.
  • Gather updated pricing, menus, & offerings from 'house' vendors and keep Drive folders organized.
  • Pre-Book all vendors for micro-weddings with ample notice and ensure they are connected with the couple.

Problem Solving

  • Anticipate and address and issues that may arise during events, such as inclement weather, scheduling conflicts, client and vendor emergencies.
  • Implement effective solutions to mitigate risk and maintain client satisfaction.
  • Day-of timeline and schedule management – be aware of ceremony times, check-ins, and logistics pertaining to transportation.
  • Effective communication with staff / management on operations, needs, and expectations.

Job Types: Full-time, Permanent

Pay: $22.00-$24.00 per hour
