TITLE: HUMAN RESOURCES CLERK-DISPATCHER 35 hours

DEPARTMENT: Human Resources Department

REPORTS TO: Human Resources Officer

SUMMARY:

With minimal direction, the Human Resources Clerk Dispatcher performs data entry and clerical duties in the Human Resources Department. The Human Resources Clerk Dispatcher coordinates the replacement educational and support staff. He/she works cooperatively with other employees, students and the public.

DUTIES:

  • Contacts replacement staff and outlines assignment details and determines appropriate replacement by using a computer based Absence Tracking and Dispatch system to match absent employees to available replacement staff based on consistency and qualifications.
  • Ensures available work for replacement staff is distributed in an equitable manner.
  • Advises school personnel of reported absences and replacements.
  • Maintains computer database of available staff and records requests for replacement staff in a computerized daily log.
  • Generates payroll input data from a variety of sources including electronic data transfers from the Absence Tracking and Dispatch System.
  • Ensures Human Resources' files are completed upon the hiring of new employees.
  • Enrolls and/or terminates Teachers on Call (TOC) in Teachers Pension and benefit plans

as required.

  • Assists the administrative staff by relieving him/her of routine administrative tasks including maintaining office procedures, organizing schedules, preparing agendas and materials for department, Board and committee meetings, scheduling appointments and making arrangements for travel and special events.
  • Types, proofs and processes a variety of materials such as correspondence, postings, contracts, memoranda, reports, agendas, timesheets, booklets, purchase requisitions, work orders, lists and confidential documents.
  • Answers inquiries and relays messages to and from the public and other staff by telephone, mail, computer, facsimile or in person.
  • Compiles statistical data and various reports and records related to staffing and related human resource functions including the district volunteer criminal record check database.
  • Maintains files, records, accounts or budgets and provides information, as required.
  • Screens calls; relays messages and provides information and assistance to parents, public, Board officials and District staff by telephone or in person.
  • Makes calculations, posts information, orders supplies, prepares requisitions and expense statements.
  • Opens, screens and distributes incoming mail.
  • Types, duplicates, sorts, collates and staples materials.
  • Lifts and moves office and paper supplies.
  • Performs other clerical or emergent duties.

REQUIRED KNOWLEDGE, ABILITY, SKILLS (Human Resources Clerk-Dispatcher)

  • High-school diploma or equivalent.
  • Three years recent secretarial experience (within the last 5 years) or two years of recent Human Resource experience utilizing a large computerized system.
  • One year post secondary relevant coursework equivalent to 30 credits.
  • Keyboarding skills of 60 words per minute.
  • Intermediate word processing skills.
  • Intermediate database and spreadsheet computer skills.
  • Knowledge of Business English, punctuation, spelling and Business Math.
  • Knowledge of office practices and procedures.
  • Ability to plan and schedule work and organize the workload effectively.
  • Ability to use courtesy and tact in the explanation of and discussion of information in

contacts with public and staff.

  • Strong interpersonal skills.
  • Ability to perform individually and as part of a team.
  • Ability to effectively communicate both verbally and in writing.
  • Ability to work with constant interruptions.
  • Ability to maintain close attention to detail for periods of sustained duration and to meet deadlines.

TOOLS AND EQUIPMENT USED

Computer, photocopier, telephone, facsimile machine, typewriter, paper shredder, answering machine, calculator and other office related equipment.

PHYSICAL ABILITIES
