We specialize in the supply, installation, and finishing of premium hardwood floors for residential, commercial, and institutional clients. We are seeking a detail-oriented and proactive Administrative Assistant to join our team and support the smooth operation of our office and project management functions.
Key Responsibilities
- Provide administrative support to senior project manager.
- Answer and direct phone calls, emails, and customer inquiries in a professional manner.
- Prepare and edit correspondence, reports, invoices, and quotations.
- project management software is an asset.
- Ability to learn and navigate the RFMS quoting system.
- Receive training to perform accurate takeoffs using Bluebeam.
- Maintain and update company records, files, and databases.
- Assist with scheduling appointments, coordinating deliveries, and managing calendars.
- Perform general office duties including filing, photocopying, and organizing supplies.
- Participate in occasional site visits to support the pre-quoting process and assist with site evaluations.
Qualifications
- Completion of secondary school (post-secondary education in business administration or office management is an asset).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with project management software is an asset.
- Strong organizational and time-management skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle multiple priorities in a fast-paced environment.
- A positive, professional attitude and willingness to learn.
